Job summary

Deer Valley Resort, part of Alterra Mountain Company, seeks an onsite HOA coordinator to enhance the homeowner experience for 85 owners across lodges. This high-touch role requires five days on site with strong administrative coordination.

You will handle owner communications, onboarding, billing and reporting while supporting maintenance and guest services duties. Competitive pay, benefits, and staff ski privileges are included.

Responsibilities

• Promote ongoing communication with owners related to unit status.
• Perform unit checks, upgrade letters, and provide feedback to owners regarding units.
• Facilitate paperwork, transfer ownership, create new owner billing account and establish communication with new owners.
• Manage onboarding of all new owners, ensuring they are up and running within 30 days.
• Coordinate with title company to obtain warranty deeds during ownership transfers.
• Handle owner reservations and provide billing information with monthly statements.
• Share a quarterly newsletter with property updates, information and revenue forecasts.
• Provide timely responses to owners and realtors on rentals, availability and revenue statements.
• Update gross revenue spreadsheets for owners and realtors.
• Assist with annual homeowners meeting preparations and HOA meetings.

Purpose of Position

Enhance the homeowner experience by serving as the primary point of contact for the 85 owners at the Lodges with steady communication, administrative management and service coordination while supporting the effective operation of the HOA. This is a high touch point position which requires being onsite for 5-days a week.

Responsibilities

• Promote ongoing communication with owners related to unit status
• Perform unit checks, upgrade letters, and provide feedback to owners regarding units
• Facilitate paperwork, transfer ownership, create new owner billing account and establish communication with new owners when a unit is sold
• Manage and coordinate the onboarding of all new owners, ensuring they are up and running within 30-days
• Contact the title company to get a copy of the warranty deed for new owners when a unit is sold to ensure the date of transfer to the new owners
• Handle owner reservations
• Provide billing information, create and review monthly owner statements for accuracy and provide backup to be mailed with statements
• Share a quarterly newsletter to provide information on property updates, local information, and revenue forecast
• Provide timely response to owners’ questions regarding rentals, unit availability, reservations, and revenue statements
• Update gross revenue spreadsheet to provide revenue information for owners and realtors
• Continually look for ways to improve the owner vacation residence experience and to reduce HOA expenditures
• Establish centralized owner information for all departments to view
• Provide timely response to realtors’ requests for information in support of a sale
• Assist owners and maintenance/housekeeping departments with maintenance requests and condominium upgrade projects
• Prepare notifications and assist in preparation of annual homeowners meeting
• Attend quarterly HOA meetings
• Review monthly financial statements, process invoices, and maintain files
• Assist with Deer Valley marketing on property websites to ensure accuracy
• Prepare end-of-year tax information with breakdowns of expenses and revenue
• Assist operationally as needed with guest services duties (front desk, warm welcome at check-in), general store and housekeeping
• Other duties as assigned
