Summary:

The Assistant General Manager provides confidential administrative and project support to the General Manager and Board of Directors. This position requires the ability to work independently, use sound judgment, and make decisions on matters related to the daily operations of the Association. Key responsibilities include preparing for meetings, conducting research, drafting reports and communications, and serving as a point of contact for homeowners, contractors, and committee members. The role also includes managing special projects, supporting office operations, and attending meetings as needed. A solid understanding of the Association’s governing documents and overall operations is essential.

Essential Duties and Responsibilities:

  • Provide high-level, confidential administrative and project support to the General Manager and Board of Directors, using discretion and independent judgment.
  • Draft and prepare professional correspondence, reports, and documentation for the General Manager, Board of Directors, and Committee Chairs.
  • Contribute to the development and implementation of office procedures to support efficient and effective operations; ensure the office environment is well-maintained and fully supplied, coordinating vendor services for equipment maintenance as needed.
  • Support the General Manager in overseeing office workflow, managing timelines, and ensuring timely completion and distribution of reports and communications.
  • Lead and execute special projects as directed by the General Manager, taking ownership of planning, follow-through, and completion.
  • Independently research, evaluate, and engage vendors or service providers for bids and estimates in support of operational needs.

Requirements

Knowledge, Skills and Experience:

  • 3-7 years of experience in the community association industry, managing homeowners associations, city government, or related experience; large scale experience strongly desired
  • Effectively coordinate multiple projects, use time management skills and exercise independent judgment.
  • Expert composition and written and verbal communication skills.
  • Strong internal/external customer relation skills required to communicate effectively with all levels of management, employees, homeowners, and other stakeholders.
  • Work with confidential/sensitive information and use diplomacy in communicating such information.
  • Effective project management and follow-up skills.
  • Meet scheduling and attendance requirements per policy and the position.
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Organizational, planning, project management, time management, and problem-solving skills.

Minimum Education:

High School Diploma or equivalent

Language Skills:

The individual must have strong written communication skills, and the ability to communicate effectively with employees and clients at all levels of the organization, both verbally and in writing.

Availability:

Regular business hours and must be available for Board meetings after regular business hours, as necessary.
