Part Time Opportunity - 16 hrs per week

Under the general supervision of the Medical Records Director, assists in the maintenance of adequate health information systems in compliance with all applicable laws, standards and policies. These systems include forms control, chart audits, record security, release of information, transcription and filing. The technician ensures all medical records and related documents are easily located, appropriately filed, assembled and maintained, delivered in a timely manner and analyzed. The Health Information Management Technician assists in maintaining accurate patient database, answers the departmental telephone and assists internal and external callers as required. The Technician demonstrates the consistent ability to maintain confidentiality and utilize the “minimum necessary” rule. Cross trains as court liaison as back-up contact person.

ESSENTIAL FUNCTIONS

  • Handles and maintains strict confidentiality in compliance with facility policies and procedures, the Health Insurance Portability and Accountability Act (HIPAA) and State-specific confidentiality requirements.
  • Performs release of information procedures and responds to all subpoenas and court orders in accordance with State and Federal Laws and within established timelines according to policy.
  • Ensures appropriate electronic and/or hard-copy storage of medical records.
  • Sorts, maintains and files dictation into charts in a timely manner following established medical record organization.
  • Retrieves medical records for authorized staff when requested.
  • Files records in numeric and/or alphabetical sequence and ensures the maintenance of the medical records file room.
  • Ensures all discharged records are retrieved from units on a daily basis.
  • Assembles medical records according to policy.
  • Analyzes medical records for physician deficiencies and communicates record deficiencies to Medical Director.
  • Ensures all records meet Joint Commission and other external agency standards.
  • Files loose sheets, correspondence and others documents, as required, in the medical record.
  • Enters data into computer system.
  • Answers telephone calls pertaining to medical records.
  • Boxes medical records and sends to storage vendor. Retrieves medical records from storage vendor, when needed.
  • Participates in maintaining departmental continuous quality improvement.
  • Serves as court liaison back-up.

ADDITIONAL JOB DUTIES

  • Assists with the court process, as needed.
  • Other duties as assigned by management.

Qualifications

Education:

Minimum of a high school diploma. Graduate of an accredited college program with a Bachelor’s Degree in Medical Record Information or related area preferred.

Experience:

One (1) year experience in Medical Records/Health Information Management preferred.

License / Certification:

RHIA/RHIT preferred.

Physical requirements:

Light Work – Exerting up to 20 pounds of force occasionally or up to 10 pounds of force frequently, or a negligible amount of force constantly to move objects. Physical demand requirements are in excess of those for sedentary work. Even though the weight lifted may be only a negligible amount, a job is rated light work when it requires: (1) walking or standing to a significant degree; (2) sitting most of the time while pushing or pulling arm or leg controls; or (3) working at a production rate pace while constantly pushing or pulling materials even though the weight of the materials is negligible.
