Job summary

GEM Plumbing & Heating Services, LLC seeks a Commercial Billing Specialist to manage high-volume commercial invoices across service and project work. You will ensure labor, materials, rates, POs, and required documentation are accurate and submitted on time, in Lincoln, RI, with a 7:30am - 4pm schedule.

The role requires experience in commercial billing, familiarity with rate sheets and contracts, and proficiency in ServiceTitan, Outlook, and Excel.

Qualifications

• High school diploma or equivalent required; associate's degree in accounting, finance, business, construction management, or a related field is a plus.
• Two to three years of commercial billing, construction/service billing, accounts receivable, or related administrative experience preferred.
• Experience working with customer-specific rate sheets, purchase orders, service agreements, contracts, time-and-material billing, or detailed invoice backup preferred.
• Proficiency with ServiceTitan, Microsoft Outlook, and Microsoft Office, particularly Excel.
• Strong attention to detail, organization, analytical ability, and problem-solving skills.
• Ability to manage a high volume of invoices, customer requirements, competing priorities, and billing deadlines.

Responsibilities

• Manage a high volume of commercial invoices for assigned customers, including specialized billing requirements and detailed rate sheets.
• Review invoices for accuracy, completeness, and compliance with company standards and customer billing requirements.
• Verify labor hours, classifications, rates, overtime, materials, taxes, and other charges on each invoice.
• Apply customer-specific rate sheets, pricing schedules, material markups, and contract terms accurately.
• Ensure invoices are supported by required documentation such as tickets, time records, estimates, and PO backups.
• Review purchase orders for accuracy, availability, expiration, balance, and compliance with customer requirements.
• Prepare, process, and submit invoices in the required format and delivery method, including portals or electronic invoicing.
• Maintain current records of billing contacts, rate sheets, POs, billing instructions, and submission deadlines.
• Identify missing or incorrect charges and coordinate corrections before submission.
• Investigate and resolve invoice rejections, rate discrepancies, missing documentation, and billing questions promptly.
• Partner with Accounting and AR to support accurate invoicing, payment application, and reconciliations.
• Maintain complete billing files and records.
• Prepare reports on billing activity, aging, and revenue trends.
• Identify recurring barriers and suggest process improvements.
