Job Description

Definition: To perform a variety of complex and responsible clerical and secretarial duties; oversee the clerical support functions of the school office; and perform related duties as assigned. May exercise functional supervision over clerical positions and/or student services.

Examples of Duties
  1. Act as receptionist; screen calls and visitors, and refer inquiries as appropriate.
  2. Explain District and school policies and procedures in person or by phone; assist students, parents, and teachers.
  3. Make appointments and arrange conferences and meetings as directed by an administrator.
  4. Compose routine correspondence and independently prepare correspondence not requiring administrator’s personal attention.
  5. Type a variety of material from rough draft or verbal instructions.
  6. Transcribe dictation from rough draft, or dictaphone recordings as assigned.
  7. Perform routine personnel, budget, and payroll functions; order, receive, and store a variety of office and school supplies.
  8. Gather, organize, and prepare information for reports.
  9. Initiate and maintain a variety of files and records of information such as payroll, budget, and personnel; maintain records of vacation time and sick leave taken by classified staff.
  10. Maintain various financial and statistical records.
  11. Verify, balance, and adjust accounts; post, assemble, and tabulate the school budget and categorical budgets.
  12. Maintain financial records of cash transactions and receipts issued; rebate monies to accounting.
  13. Administer first aid to students as necessary.
  14. Maintain control of keys for the entire school.
  15. Operate a personal computer for word processing, data entry, and database inquiry.
  16. Maintain site, room, and computerized inventory of furniture, equipment, and instructional materials.
  17. Maintain regular and prompt attendance in the workplace.
Minimum Qualifications

Knowledge of: English usage, spelling, grammar, punctuation; modern school office methods, procedures, and equipment; business letter writing; record keeping principles; rules, regulations, laws, and policies governing the District; principles of supervision, training, and performance evaluation; bookkeeping and accounting procedures; oral and written communication skills.

Ability to: Learn procedures of the school; interpret and apply policies, laws, and rules; establish effective working relationships; type at 45 wpm; transcribe dictated material; perform mathematical calculations; work independently; analyze situations; maintain records; understand and follow directions; train staff; communicate effectively; perform physical tasks; develop cooperative relationships.

Education, Training, and Experience

Any combination of education, training, and/or experience equivalent to completion of the twelfth grade and three years of broad secretarial or clerical work, preferably including at least one year in a school district at the secondary level.

Working Conditions & Physical Demands

Indoor environment; data entry; sit for extended periods; see and read computer and printed material; hear speech; lift up to 25 lbs; bend, reach, grasp, push/pull.
