This role matters because accurate healthcare operations directly affect access, reimbursement, compliance, and patient experience. The administrator will turn complex requirements involving HIPAA, CMS, payer policies, and state regulations into reliable processes, measurable controls, and scalable operating procedures for a distributed team.
Key Responsibilities
- Manage healthcare administration workflows spanning provider onboarding, patient enrollment, referrals, authorizations, claims documentation, and issue resolution
- Maintain accurate records and reporting across EHR, CRM, ticketing, and claims systems; investigate data discrepancies and coordinate corrective actions
- Monitor compliance with HIPAA, CMS requirements, payer contracts, and applicable Minnesota healthcare regulations; document controls and escalated potential risks
- Build and maintain standard operating procedures, process maps, training materials, and audit-ready documentation
- Track operational metrics such as turnaround time, authorization status, claims exceptions, service levels, and case backlog using Excel, SQL-enabled BI tools, or equivalent reporting platforms
- Coordinate cross-functional projects with clinical operations, engineering, finance, legal, and customer support teams; manage timelines, owners, dependencies, and deliverables
- Prepare recurring dashboards and executive updates that summarize operational performance, compliance findings, root causes, and recommended improvements
What We Are Looking For
- 3-8 years of experience in healthcare administration, healthcare operations, revenue cycle management, payer operations, or a related environment
- Bachelor’s degree in healthcare administration, health information management, business, public health, or a comparable field
- Working knowledge of HIPAA, CMS programs, payer workflows, medical terminology, healthcare documentation, and U.S. healthcare operations
- Hands-on experience with EHR, practice management, claims, CRM, or healthcare workflow systems; able to learn new platforms quickly
- Strong analytical and process-improvement skills, including advanced Excel or Google Sheets and experience with dashboards, data validation, and operational KPI reporting
- Excellent written communication, organization, and stakeholder-management skills with the ability to handle sensitive protected health information appropriately
- Bonus: Experience with SQL, Tableau, Looker, Salesforce, ServiceNow, HL7/FHIR workflows, Lean or Six Sigma methods, or healthcare compliance certifications such as CHC or RHIA
