The Opportunity
- Ensure compliance with timelines and guidelines related to record requests, subpoenas, court orders, and other requests for information received via U.S. mail and electronic database according to company policy and state or federal guidelines.
- Obtain, review, and analyze records for completeness, identify discrepancies or incomplete work, and collaborate with business partners to correct deficiencies or escalate to Supervisor as needed.
- Complete quality assurance validation of records before release through ChartSwap to external parties.
- Review and analyze electronic patient records using multiple computer systems for information to process, produce, and release accurate legal record sets.
- Screen for release of information requiring special authorization, such as mental health, chemical dependency, HIV status, or other sensitive categories.
- Ensure compliance of legal documents, subpoenas, and authorizations with HIPAA, maintaining accuracy and accountability.
- Process subpoenas and dispositions, verify payments, and consult with business partners during court proceedings as assigned.
- Maintain knowledge of revenue cycle management programs and resources to review accounts and determine appropriate actions.
- Collaborate with leadership to improve workflow processes, standardization, and system efficiency, including ChartSwap usability.
- Stay current with statutes, regulations, guidelines, and standards relevant to job duties and department policies.
- Assist in maintaining reference and training materials, and approved templates and documents.
- Maintain high levels of accuracy and confidentiality.
- Serve as the primary contact for inquiries via phone and email from records requestors and internal partners.
- Communicate issues and solutions related to record management effectively to stakeholders.
- Explain processing requirements, estimated completion times, and responsibilities clearly to internal and external customers.
- Identify and resolve problems, developing solutions or escalating as needed.
- Collaborate with cross-functional teams, including Support Services, Patient Services, RCM Billing, Legal, and others.
- Promote a compliant culture through ethical standards and stewardship.
- Recommend training topics for continuous improvement.
- Lead and participate in compliance projects and initiatives.
- Engage in industry activities and conferences to foster relationships and stay informed.
- Develop expertise in health information management, privacy, HIPAA, and compliance issues.
- Travel may be required up to 5% for business purposes.
Required Experience and Competencies
- High School Diploma or GED.
- 1-2 years of experience in health information management, medical records, billing, or coding.
- Knowledge of HIPAA compliance laws.
- Typing speed of at least 35 wpm.
- Proficiency in Microsoft O365.
- Experience in medical office, records department, billing, coding, or hospital setting preferred.
- Ability to handle confidential patient information appropriately.
- Understanding of federal and state privacy laws.
- Proficient in data entry and internet navigation.
- Ability to work independently and as part of a team.
- Strong problem-solving, organizational, and interpersonal skills.
- Attention to detail and analytical skills.
- Knowledge of medical billing, coding, and terminology.
- Excellent verbal and written communication skills with a focus on customer service.
- Ability to meet deadlines in a fast-paced environment.
- Fluency in English; second language skills are a plus.
