Position Summary

The Health Operations Manager owns the administrative infrastructure that keeps the Nursing Department organized, responsive, and moving. Serving as the centralized administrative front door for nursing, the position coordinates appointments and nursing schedules; receives and routes nursing communications; tracks forms, records, orders, labs, referrals, and follow-up; and maintains the systems needed to ensure administrative items are completed and closed. The Health Operations Manager anticipates needs, identifies scheduling conflicts or unresolved items, communicates status, and escalates concerns to nursing leadership as appropriate.

This position organizes, schedules, tracks, communicates, and escalates. The position does not make clinical decisions, determine medication accuracy or clinical appropriateness, or determine nursing interventions.

Essential Job Functions
SCHEDULING & COORDINATION
  • Serve as the central point of coordination for nursing appointments, schedule changes, and routine scheduling needs.
  • Maintain the master nursing calendar and assign appointments among nursing staff based on availability, location, coverage expectations, and nursing leadership direction.
  • Confirm appointments, coordinate transportation, communicate schedule changes, and send reminders to homes and programs.
  • Gather, organize, and distribute appointment forms, records, and required paperwork.
  • Track recurring nursing activities, including home visits, nurse reviews, and med-card reviews.
  • Organize medication-card review schedules and prepare review materials as needed.
TRACKING & DOCUMENTATION
  • Track orders, labs, referrals, follow-up appointments, physician signatures, expiring orders, and other required documentation through completion or escalation.
  • Request, file, scan, upload, and organize medical records and nursing-related documentation.
  • Maintain current provider, pharmacy, and other healthcare contact information.
  • Maintain accurate nonclinical nursing tracking systems and administrative records.
  • Prepare routine reports identifying unresolved or overdue items requiring follow-up.
COMMUNICATION & DEPARTMENT SUPPORT
  • Serve as the central administrative point of contact for routine nursing calls and communications from staff, homes, programs, providers, pharmacies, and other contacts.
  • Receive, document, and route nursing-related communications and promptly **escalate** items requiring nurse or leadership review.
  • Monitor shared nursing inboxes, fax queues and ensure items are routed and followed through.
  • Support nursing meetings through agendas, minutes, action-item tracking, and follow-up.
  • Assist with nursing calendars, administrative schedules, reports, forms, and other coordination.
PAYROLL & ADMINISTRATIVE COORDINATION
  • Review and approve Paycom hours for nursing staff in accordance with agency procedures and **escalate** discrepancies or questions as needed.
  • Provide administrative coordination and follow-through necessary to support effective Nursing Department operations.
Qualifications
  • Previous healthcare, medical office, nursing support, or similar experience preferred; familiarity with medical terminology and healthcare workflows is helpful.
  • High school diploma or equivalent required; college degree not required.
  • Proven experience successfully coordinating complex schedules, appointments, calendars, or operations involving multiple people and changing priorities.
  • Exceptional organization, attention to detail, communication, and follow-through skills.
  • Ability to anticipate needs, identify scheduling conflicts or gaps, reprioritize quickly, and bring items to completion.
  • Ability to maintain accurate and confidential records and effectively use scheduling, email, documentation, and other office technology.
  • Ability to recognize when information or concerns require nursing or leadership review rather than independent resolution.
