Job summary

UP Health System - Portage is seeking a detail-oriented Records Clerk to support the Emergency Department and patient access services. You will attach EMS reports to ER charts, assist visitors at the window, and prepare charts for scanning while upholding HIPAA standards.

Daily tasks include scanning records, performing quality checks, routing department calls, and maintaining logs. This role offers comprehensive benefits for full-time and part-time staff at our regional medical center.

Qualifications

• High School Diploma or equivalent required.
• Requires critical thinking and ability to work with minimal supervision.
• Excellent oral and written communication skills.
• Computer skills and knowledge of software required.
• Familiarity with hospital department workflows.
• Ability to problem-solve and handle stress.
• Maintain harmonious relationships with staff and departments.
• Speech, hearing, and visual acuity necessary.
• Mental alertness required.

Responsibilities

• Attach EMS reports to ER charts in a timely manner.
• Assist customers at the window promptly and courteously.
• Prepare charts for scanning per productivity standards.
• Scan medical records according to daily productivity standards.
• Perform quality checks on previously scanned reports.
• Maintain HIPAA standards at all times.
• Receive and route department calls appropriately.
• Log shredded records in the designated log book.
• Review patient requests for Patient Portal access.

How You'll Contribute

• Ensures appropriate Emergency Room charts have EMS reports attached timely.
• Responsible for helping all customers that come to the window in a timely and courteous manner.
• Preps charts for scanning according to the productivity standards.
• Scans medical records according to the daily productivity standards as appropriate.
• Performs quality control checks on previously scanned reports as deemed appropriate.
• Maintains HIPAA standards at all times.
• Receives calls to the department and routes them accordingly.
• Analyzes assigned records time permitting
• Log all records in designated log book that have been shredded.
• Reviews all patient requests for Patient Portal access.

UP Health System - Portage has been serving Michigan's Western Upper Peninsula since 1896. It supports a multi-specialty medical community with over 40 physicians, and more than a dozen allied health professionals.
