Job Summary:

The Head Cashier coordinates the daily operation of the Cashiers Office and ensures compliance of established policies, procedures and internal controls. The Lead Cashier works at the customer counter performing a variety of tasks which include: check cashing, receipt of payments from parents and students, verifies and receipts interdepartmental deposits and payments, records bagged deposits, issues petty cash disbursements.

Duties and Responsibilities:

  • Provides professional client service in all interactions, including greeting the customer, thanking each person, and performing accurate transactions.
  • Communicates and interacts by telephone, e-mail, and in person with students, parents, customers, vendors, and colleagues in a professional and tactful manner. Always provides prompt, accurate, and courteous customer service.
  • Receives cash and checks at a cashier's window payment to student accounts; prepare receipts for payments received; accurately applies payments to proper accounts.
  • Accurately maintains custody of cash and checks processed in order to balance and account for all funds at the end of each business day.
  • Prepares, verifies, and delivers change funds to customers (requires lifting rolled and boxed coin).
  • Produces daily reports for student scholarship purchases at the bookstore, then transfers this information to the bookstore. Reconciles monthly scholarship report for all student scholarship bookstore purchases and gives reconciled statement with supporting documents to the Assistant Controller.
  • Receives departmental deposits and prepare bank deposits daily.
  • Accepts and processes payments for student accounts in person, by phone, and mail; receives and posts student loan payments in CRC and balances them daily.
  • Assist in maintaining and updating Banner system.
  • Represents the department at orientation, preview day, and other student events as requested.
  • Assist with preparation and distribution of IRS Forms 1098T, monthly statements and past due notices to students and third-party agencies. Answer questions regarding information provided on the form 1098T
  • Processes checks returned for insufficient funds (NSF) on student and non-student accounts, and composes related correspondence.
  • Prepares returned checks for placement with alternative collection efforts, as directed.
  • Assist student refund processes as needed.
  • Supervision of student workers.
  • Assist with conducting change fund inventory.
  • Maintain Petty Cash fund.
  • Ensures continuous operation of departmental credit card machines across campus.
  • Responsible for communicating cashiering deadlines to University community.
  • Oversight of departmental deposit book reconciliations.
  • Leads all cashiering functions, including training of new cashiers.
  • Oversight of daily scanned documents to ensure process is being completed accurately and in a timely manner.
  • Performs other duties as assigned.

Required Minimum Qualifications:

  • High School diploma or equivalent, and
  • Two (2) years’ full time equivalent experience in clerical or administrative support

Preferred Qualifications:

  • Experience working in a Business Office setting in an institution of higher education
  • Two (2) years' experience in banking/cash handling in a fast-paced environment
