Job summary

Allina Health is seeking an office support professional in Minnesota to coordinate scheduling and staffing, manage data, and assist leaders with daily operations. The role involves entering timecards, updating mileage reimbursements, and handling inquiries to keep workflows smooth.

Ideal candidates have strong customer service and computer skills, plus basic healthcare/office experience. Typical schedule is 8:00 AM–4:30 PM, Monday–Friday, with potential for occasional overtime or weekend

Qualifications

• Must be 18 years of age with education and/or experience to meet required functional competencies as listed on the job description
• Strong customer service, office and computer skills are preferred
• Experience in healthcare/home care and/or hospice is 0-2 years (preferred)

Responsibilities

• Staffing/Scheduling: Staffs all assigned schedules with the appropriate personnel.
• Office support and management: Responds to calls, questions and concerns in a timely manner; tracks reports and data management.
• May coordinate new employee orientation/onboarding and assist with equipment, paperwork, training and supplies.
• May review, process and resolve claims issues in assigned work queues; updates department directories and phone lists; may route patient/family calls for admissions/visits.
• Other duties as assigned.

Coordinates the day-to-day activities for office support and management, scheduling and staffing, and data management. Collaborates with leaders to address questions and resolve issues.

Principle Responsibilities

• Staffing/Scheduling
  • Staffs all assigned schedules with the appropriate personnel.
  • Tracks, updates, reviews and communicates changes daily for schedules.
  • May utilize the automated medical record scheduling and other systems.
  • Enters and updates timecards and mileage reimbursements.
• Office support and management
  • Responds to calls, questions and concerns in a timely manner.
  • Tracking and coordination of assigned reports and data management.
  • May coordinate new employee orientation/onboarding in regards to necessary equipment, paperwork, training and supplies.
  • May review, process and resolve claims issues in assigned work queues.
  • Updates and distributes department directories and phone lists.
  • May process charts, orders, labs and interdisciplinary team meeting information.
  • May field patient/family calls and route to the appropriate team member to facilitate admissions and visits.
• Other duties as assigned.

Required Qualifications

• Must be 18 years of age with education and/or experience needed to meet required functional competencies as listed on the job description

Preferred Qualifications

• High school diploma or GED
• Associate's or Vocational degree or
• Bachelor's degree
• 0 to 2 years healthcare/home care and/or hospice experience
• 0 to 2 years strong customer service, office and computer skills

Licenses/Certifications

• Certified Nursing Assistant (CNA), Licensed Practical Nurse (LPN) or Health Unit Coordinator (HUC) preferred upon hire

Physical Demands

• Sedentary:
• Lifting weight up to 10 lbs. occasionally, negligible weight frequently
• 1.0 FTE (80 hours per two-week pay period)
• 8-hour day shift; Monday-Friday, 8:00 AM - 4:30 PM
• Occasional weekend coverage
• Additional weekend shifts may be available based on department needs

Pay Range

Pay Range: $22.04 to $30.01 per hour

The pay described reflects the base hiring pay range. Your starting rate would depend on a variety of factors including, but not limited to, your experience, education, and the union agreement (if applicable). Shift, weekend and/or other differentials may be available to increase your pay rate for certain shifts or work.
