Our client, the leader in the SaaS Identity space has an outstanding contract Hackathon Coordinator opportunity to join their dynamic team. This is a fully remote role.
Contract Duration is: Sept 8, 2025 to October 31, 2025
Part time role: Thursday and Friday only - East Coast hours 9:00 a.m. to 5:00 p.m. 100% remote, open to candidates in U.S.

Our client is seeking a highly organized and detail-oriented Hackathon Coordinator to lead the coordination and administration of our internal hackathons. This person will play a pivotal role in fostering a culture of innovation by owning the day-to-day coordination of the program and ensuring the logistics and participant experience are executed with excellence.
The ideal candidate has an eye for detail and strong organizational and communication skills to ensure a seamless and engaging hackathon experience. You’ll be the logistical engine behind the Hack Squad (our dedicated hackathon program team), partnering with stakeholders and global participants to orchestrate every phase of the program before, during, and after the hackathon.

Required Skills & Experience
- A seasoned project coordinator, executive assistant, or operations specialist with experience managing complex virtual events, engagement programs, or innovation initiatives.
- A clear writer who can craft compelling, clarifying messaging and drive enthusiasm across the company.
- A collaborator with the ability to align multiple stakeholders, manage competing priorities, and drive execution across distributed teams.
- Passionate about enabling innovation culture and helping teams explore new ideas in a structured and impactful way.
- Experience working with technical teams, understanding how to engage and communicate with engineers, designers, and product managers
- A self-sufficient problem solver who identifies opportunities and proactively implements solutions
- Highly organized and detail-oriented, with a bias for action and a high sense of accountability to take initiative, anticipate needs, and consistently follow through.
- 3+ years of experience in project coordination, event management, innovation programs, or executive assistance.
- Strong written and verbal communication skills, with the ability to clearly convey project status, updates, and risks to stakeholders, while also drafting engaging, audience-friendly communications and resources that drive participation and excitement.
- Experience driving or coordinating hackathons or employee engagement initiatives, ideally across distributed and technical teams.
- Skilled in organizing and maintaining knowledge management sites to ensure content is up-to-date, well-structured, and easy to navigate.
- Proficient in Google Sheets, with the ability to analyze survey results and feedback data to identify trends, surface insights, and translate them into actionable recommendations for future hackathon improvements.
- Proficiency in project management and collaboration tools, including Asana, Slack, and DevPost.
- Ability to manage multiple priorities in a fast-paced environment, balancing execution with stakeholder engagement.
- Thrives in ambiguity and can adapt quickly in a fast-paced, remote environment.
What You Will Be Doing
Daily Responsibilities
- Manage logistics and operations throughout the planning, execution, and post-event phases, ensuring seamless coordination and execution. This includes scheduling meetings with hackathon judges and volunteers, updating event communications, organizing participant activities, and analyzing survey results.
- Draft attendee-facing communications and create resources and assets (emails, Slack posts, FAQs, presentations) to drive engagement and participation.
- Support budget administration, including expense tracking and ensuring financial records
- Recruit, train, and coordinate volunteers and judges, managing outreach, onboarding, and communications to ensure a consistent and positive experience.
- Organize global participant engagement initiatives for remote and office-based teams, fostering an exciting and inclusive experience.
- Drive the post-event administrative tasks, including feedback documentation, follow-ups, and processing any outstanding logistics.
- Analyze survey feedback and engagement metrics and deliver post-hackathon reports summarizing impact, takeaways, and recommendations.
- Cultivate strong relationships with internal teams to foster an ongoing culture of innovation.
- Proactively communicate progress, blockers, and updates to the Hackathon program team and stakeholders, ensuring transparency, timely alignment, and smooth coordination throughout the program lifecycle.
