Position Objective
The High School Guidance Secretary will provide administrative support to the guidance department, ensuring efficient and organized operations. This includes managing student records, scheduling appointments, assisting with communication between staff, students, and parents, and maintaining a welcoming and supportive environment for all stakeholders. The ideal candidate will be detail-oriented, compassionate, and skilled in multitasking, with a strong commitment to student success and confidentiality.
Responsibilities
Extensive use of Student Information System (SIS), Aspen Serves as the registrar for Apponequet Regional High School Handles the enrollment process for all new students and withdrawal process for all transferring students Maintains all student records Serves as a receptionist for the Guidance Department Responsible for importing student grades, quarterly, and processing report cards. Verifies grade verification sheets, failures and incompletes Runs quarterly honor roll, ineligibility list, GPA & Rank Update quarterly student data in SchooLinks Completes transcript requests, education verifications, social security forms, permit documents for students Prepares transcripts for graduates as well as currently enrolled students. Records summer school grades to transcripts Prepares files for entering grade 9 students Assists in the collection of fees for AP Exams, PSAT, SAT Assists the Scholarship Advisor and National Honor Society Advisor Maintains accurate SIMS data for reporting Prepares updated Program of Studies annually Prepares updated course selections sheets annually Runs MCAS and other reports Assists in school opening procedures, 8th grade showcase, college fair, career day, Parent/Teacher night Maintain accurate records/statistics for graduation and other senior end-of-the-year activities Complete other tasks as assigned by the Principal

Required Qualifications
Minimum High School Diploma Secretarial/Office Administration experience Strong Microsoft Office Skills and Google Suite applications Working knowledge of spreadsheets is necessary Attention to details and ability to manage multiple tasks Knowledge of Aspen is preferred Good written and verbal communication skills Requires ability to maintain confidentiality Ability to work without constant supervision Ability to work under the stresses of interruption and varying schedules Ability to work well with staff, students, and parents/guardians Experience in a school district is desirable
