GUEST SERVICE REPRESENTATIVE I - Full Time/ Recruitment Bonus $1k

Job Summary: Serves as the first point of contact with guests at a Navy Gateway Inn and Suites or Navy Lodge property. Handles all stages of guests' stay, accommodating special requests and resolving issues. Responsible for front desk operations, lobby appearance, guest service-related office operations, and ensuring the safety, security, and privacy of all guests.

Responsibilities:
  1. Maintain a welcoming manner and positive attitude. Communicate effectively and professionally with guests, providing information about lodging facilities, amenities, and local attractions.
  2. Assist guests with requests in person or by phone, including reservations, payments, check-in/check-out, and verification processes.
  3. Greet and welcome guests, maintaining excellent guest relations.
  4. Communicate with lodging staff and management regarding operations and guest issues requiring immediate attention.
  5. Process reservations, handle room assignments, and provide alternative lodging options when rooms are unavailable.
  6. Assist in handling group reservations and reconcile shift transactions, ensuring accurate balancing while maintaining service quality.
  7. Resolve guest complaints, adjusting charges or times as appropriate, and escalate complex issues to supervisors.
  8. Register guests, assign rooms, issue keys, and manage guest accounts and reservations using the Property Management System (PMS).
  9. Operate a multi-line phone system, record messages, and provide information on services and local attractions.
  10. Manage inventory of keys and supplies, and maintain a clean and safe front desk area.
  11. Log and manage master keys securely, reporting lost keys immediately.
  12. Assist in training front desk personnel and ensure adherence to policies and procedures.
  13. Use PMS to access and modify guest information, process payments, and manage reservations.
  14. Ensure proper handling of the Lost and Found, and manage reports and records related to guest stays.
  15. Handle financial transactions, including cash and credit card processing, and prepare end-of-shift reports.
  16. Assist with breakfast setup, replenishment, and cleanup, obtaining food handling certifications as needed.
  17. Support laundry operations and supply delivery to guests.
  18. Possess a valid driver's license for travel between facilities if required.
  19. Work all shifts, including weekends and holidays, and assist during emergencies or inclement weather.
  20. Obtain necessary certifications within specified timeframes, such as the NEXCOM Hospitality Group NHG front desk certification.

Minimum Requirements:

  • One year of general office clerical experience demonstrating satisfactory clerical skills.
  • One year of progressively responsible experience related to the position.
  • Alternatively, college or university study above high school level may substitute for experience at a rate of half an academic year per 6 months of experience.
