GUEST SERVICE REPRESENTATIVE I - Full Time/ Recruitment Bonus $1k
Job Summary: Serves as the first point of contact with guests at a Navy Gateway Inn and Suites or Navy Lodge property. Handles all stages of guests' stay, accommodating special requests and resolving issues. Responsible for front desk operations, lobby appearance, guest service-related office operations, and ensuring the safety, security, and privacy of all guests.
Responsibilities:
- Maintain a welcoming manner and positive attitude. Communicate effectively and professionally with guests, providing information about lodging facilities, amenities, and local attractions.
- Assist guests with requests in person or by phone, including reservations, payments, check-in/check-out, and verification processes.
- Greet and welcome guests, maintaining excellent guest relations.
- Communicate with lodging staff and management regarding operations and guest issues requiring immediate attention.
- Process reservations, handle room assignments, and provide alternative lodging options when rooms are unavailable.
- Assist in handling group reservations and reconcile shift transactions, ensuring accurate balancing while maintaining service quality.
- Resolve guest complaints, adjusting charges or times as appropriate, and escalate complex issues to supervisors.
- Register guests, assign rooms, issue keys, and manage guest accounts and reservations using the Property Management System (PMS).
- Operate a multi-line phone system, record messages, and provide information on services and local attractions.
- Manage inventory of keys and supplies, and maintain a clean and safe front desk area.
- Log and manage master keys securely, reporting lost keys immediately.
- Assist in training front desk personnel and ensure adherence to policies and procedures.
- Use PMS to access and modify guest information, process payments, and manage reservations.
- Ensure proper handling of the Lost and Found, and manage reports and records related to guest stays.
- Handle financial transactions, including cash and credit card processing, and prepare end-of-shift reports.
- Assist with breakfast setup, replenishment, and cleanup, obtaining food handling certifications as needed.
- Support laundry operations and supply delivery to guests.
- Possess a valid driver's license for travel between facilities if required.
- Work all shifts, including weekends and holidays, and assist during emergencies or inclement weather.
- Obtain necessary certifications within specified timeframes, such as the NEXCOM Hospitality Group NHG front desk certification.
Minimum Requirements:
- One year of general office clerical experience demonstrating satisfactory clerical skills.
- One year of progressively responsible experience related to the position.
- Alternatively, college or university study above high school level may substitute for experience at a rate of half an academic year per 6 months of experience.
