Job summary

Montage International is seeking a Recreation Coordinator to assist the leadership team with booking, coordination, and administrative support for bicycle and golf cart rentals. This role partners with sales, front desk, concierge, and other departments to ensure reservations, payments, and guest experiences align with the company’s goals and values.

The ideal candidate has strong communication skills, a background in reservations or administrative support, and experience with booking systems

Qualifications

• High school or equivalent education required.
• 2+ years experience in an administrative assistant or reservations role.
• 2-3 years of customer service experience in hotel, events, reservations, or restaurant environment.
• Clear and concise communication skills.
• Working knowledge of rental/booking processes.
• Possess basic math skills and ability to handle billing.
• Excellent English speaking, reading, and writing.
• Knowledge of hotel, recreation, or bicycle shop operations.
• Outstanding customer service skills & ability to find creative solutions.
• Advanced skills in Word, Excel, Publisher, PowerPoint, and Outlook.

Responsibilities

• Answer incoming calls about future bookings and reserve accordingly in our rental system.
• Monitor voicemails and return calls/inquiries.
• Respond to and reference email bookings daily and confirm with all parties.
• Address billing questions/concerns and relay information to appropriate managers.
• Collaborate with sales, front desk, experience planners, concierge, and other departments to communicate bookings and ensure reservations and payments.
• Process payments in our payment system and print daily delivery/pickup reports.
• Manage inventory in the booking system and process daily no-show, late, and pickup fees.
• Create a welcoming environment for guests and associates.
• Receive inquiries and forward to management for appointments or follow-up.
• Train new hires on the booking system to ensure consistent use and avoid discrepancies.
