Job summary

The University of Minnesota Extension is seeking a Project Assistant to support grants and projects across CERTs and SAFS programs. This role emphasizes administrative excellence, tracking deliverables, and preparing proposals to ensure timely grant execution and completion.

Based in Minnesota, this in-office and in-person position requires at least two days per week on site, with a 40-hour workweek and a funding horizon through June 30, 2028, subject to program needs and performance.

Qualifications

  • High School Diploma or GED with four years of closely-related professional experience.
  • Experience organizing and tracking complex administrative responsibilities, ideally grants/contracts.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Excellent organizational skills with high accuracy and attention to detail.
  • Advanced proficiency in Google Workspace (Drive, Gmail, Docs, Sheets).
  • Proficiency with project management software (e.g., Monday.com).
  • Strong customer service and communication skills, both verbal and written.
  • Ability to work independently, prioritize tasks, and determine stakeholder needs.
  • Valid driver’s license and access to a vehicle; travel up to 150 miles occasionally and 2–4 overnight stays per year.
  • Reliable internet if working remotely or off-site.

Responsibilities

  • Monitor deliverables and reporting deadlines for numerous active projects.
  • Maintain data systems tracking project start/end dates, benchmarks, and key information.
  • Prepare progress reports on projects and deliverables as requested.
  • Serve as primary contact for project managers needing grant-related administrative updates.
  • Support development of funding proposals by tracking requirements and deadlines.
  • Coordinate with partners to meet deadlines and deliverables.
  • Anticipate bottlenecks and help troubleshoot timelines.
