Job Summary

Reporting to the Executive Director, Office of Sponsored Programs, the Grants Manager will be responsible for daily oversight of the full lifecycle of pre and post award administration of sponsored programs including but not limited to identification of funding opportunities, proposal development and submission, contract negotiation, sub award management, effort reporting, and overall compliance. They will work closely with faculty and staff to provide direct assistance with budget preparation, training, as well as maintaining due diligence and compliance with various agencies and university grant policies and procedures. They will also assist with the day-to-day operations of the office, grant record-keeping and retention, as well as a select portfolio of post-award management.

Major Duties And Responsibilities

Pre-Award Management

  • Assists faculty in identifying grant opportunities and provides guidance in preparing competitive grant applications, consistent with agency’s requirements.
  • Regularly reviews solicitations, including RFP and RFA announcements for funding and strategic priorities, deadlines, submission requirements, budgetary limitations, and other relevant issues.
  • Shares solicitations, as applicable, with individual faculty and staff administrators.
  • Takes a lead role in creating grant budgets and checklists that are accurate and compliant with both sponsor and university requirements and policies.
  • Manages the sponsored award proposal submission process, including uploading all documents to sponsor sites in preparation for AOR final approval and submission.
  • Respond to JIT requests and other pre-award requests from various agencies as needed.

Post-Award Management

  • Manages effort reporting, conflicts of interest, other support pages, and other documents as needed.
  • Create budget load memos and make modifications as needed for new and existing awards; communicate changes to PI’s and other team leads where needed.
  • Manage the process of budget and programmatic modifications in conjunction with PI and grant agency for approval.
  • Setting monthly/quarterly meetings with PI to review expenditures.
  • Work closely with senior accountants to ensure budget versus actual reports are completed in a timely manner and invoicing is on track according to schedule.
  • Oversee setup and execution of subcontract, consultant, and vendor management processes.
  • Oversee subrecipient monitoring and performs risk assessment where needed.

Compliance & Reporting

  • Works with a range of university stakeholders on policy reviews.
  • Assist with streamlining grants processes and procedures and make recommendations for improvement where needed.
  • Serves as a resource to university faculty and staff on compliance rules and regulations (FAR, Uniform Guidance)
  • Assist with developing and documenting standard operating procedures.

Other Duties And Assignments.

  • Contribute materials to a monthly research office newsletter.
  • Perform other duties as assigned.

Job Requirements

Education Master’s degree required

Experience 5 years of related experience in a nonprofit higher educational setting.

Licenses or Certifications Certified Research Administrator (CRA) preferred

Financial Responsibility Processes or records financial transactions within established guidelines and safeguards.

Supervision Training and coaching faculty on research administration

Special Knowledge Uniform Guidance, Workday, grants.gov, NIH Assist, NSF research.gov, A-133 Single Audit, Effort Certification, 2 CFR Part 200, Federal and Non-Federal grant application preparation and grants budgeting, grants management, project management, subrecipient contract preparation, Microsoft Office, Strong written and verbal communication, /self-motivated, organized, great time management skills.
