Job description

The Grant Manager is part of the School of Engineering (VUSE) at Vanderbilt University. The position requires a working knowledge and understanding of pre- and post-award grants management to serve the work unit. It necessitates the exercise of independent judgment, initiative, and the ability to make decisions regarding internal procedures relative to the department’s operations, as well as other tasks assigned. This will be a remote role.

The position will function with a high degree of understanding of university life, policies, and procedures.

Duties and Responsibilities

Pre-award responsibilities may include:

  1. Provides policy guidance and assistance with all aspects of proposal development, administrative forms, sponsor-required certifications and representations, and compliance requirements.
  2. Develops an appropriate budget.
  3. Works directly with the Principal Investigators & collaborators, interfacing with central administrative offices to ensure that applications meet all university, school, and sponsor requirements.
  4. Performs application submission, ensuring deadlines are met.
  5. Responds to sponsor requests and questions.
  6. Performs other duties as assigned.

Post-award responsibilities may include:

  1. Analyzes and interprets complex grants and contract specifications, guidelines, and regulations.
  2. Monitors, analyzes, and manages budgets and expenditures along with all aspects of the grants to ensure compliance with sponsor terms and conditions, Uniform Guidelines, and University policies.
  3. Creates budget reconciliation and forecasting reports and uses these reports to meet regularly with faculty to review their financial situations.
  4. Ensures compliance with requirements such as effort reporting, financial & progress reporting.
  5. Collaborates with sponsors for appropriate prior approval requests, extensions, budget revisions, and general questions.
  6. Completes timely journal entries as necessary, grant closeouts, etc.
  7. Assists with rate setting/implementation for PI/Faculty Service Center(s).
  8. Performs other duties as assigned.
Qualifications
  1. A bachelor’s degree with a preference in finance, accounting, or business is strongly preferred.
  2. 3+ years of experience in pre- and post-award management experience (both federal and non-federal) is required. A combination of education and experience may be considered.
  3. Problem-solving skills and the ability to be flexible are required.
  4. Advanced working knowledge of research compliance issues & key federal grant regulations is required.
  5. Financial Unit Manager (FUM) and procurement training is preferred.
  6. Excellent organizational and time management skills.
  7. Excellent written and verbal skills.
  8. Outstanding attention to detail.
  9. Experience working with investigators on the management of complex research awards and working with a variety of sponsors.
