Job summary

The Frick Pittsburgh is seeking a Grants Manager to oversee the entire grant process, from identifying funding opportunities to ensuring compliance with grant regulations. This role requires strong project management and communication with funders and program teams.

The Grants Manager will lead the grant writing team, ensure alignment with the museum's mission and strategic goals, and maintain compliance with funder requirements.

Qualifications

  • 3 years of relevant professional fundraising experience with demonstrated results.
  • Demonstrated strong writing and editing and presentation skills.
  • Proficiency in Microsoft Office, mail merge, advanced excel spreadsheet management and CRM databases.
  • Curious, empathetic, and collaborative with ability to work independently or as part of a team.
  • Excellent interpersonal and customer service skills; pleasant phone manner a must.

Responsibilities

  • Grant Management: Track deadlines, deliverables, and compliance; oversee the award, payment, and closeout process; manage grant contracts, budgets, track expenditures and coordinate with finance in preparing financial reports.
  • Data & Systems: Manage accurate records in centralized database grant tracking software. Maintain donor files and analyze program data to support grant goals
  • Proposal Development: Prepare, edit, and submit high-quality corporate, foundation and government grant proposals and applications, ensuring compliance with funder guidelines
  • EITC program management: Promote EITC Tax Credit program and encourage eligible contributions; complete renewal and reporting requirements
  • Collaboration: Work with program, finance, and administrative teams to gather data, design projects, and build budgets
  • Evaluation: Conduct program evaluations to measure success and ensure compliance with grant requirements
  • Reporting: Monitor and report donor activity; create contingency plans when needed
  • Submit interim and annual reports to funders
  • Relationship Management: Serve as liaison with funders, partners, and internal stakeholders
  • Stewardship: Communicate with funders, maintain stewardship records
  • General administration: Support other efforts and complete other duties as assigned.

Grants Manager

The Grants Manager oversees the entire grant process, from identifying funding opportunities to ensuring compliance with grant regulations, requiring strong project management and communication skills with funders and supporting program teams. This role is responsible for managing the grant writing team, ensuring alignment with mission, strategic goals, and compliance with grantor requirements.

Reports to: Director of Advancement & Engagement

Hours: Primarily Monday – Friday, 9:00 A.M. – 5:00 P.M., some evenings and weekends

Status: Full‑time, exempt with benefits

Salary: $60,000 - $70,000 Based on experience

Responsibilities:
  • Grant Management: Track deadlines, deliverables, and compliance requirements; oversee the award, payment, and closeout process; manage grant contracts, budgets, track expenditures and coordinate with finance in preparing financial reports.
  • Data & Systems: Manage accurate records in centralized database grant tracking software. Maintain detailed donor files in SharePoint folders and analyze program data to support grant goals
  • Proposal Development: In cooperation with external grant writing team and senior leadership, prepare, edit, and submit high-quality corporate, foundation and government grant proposals and applications - ensuring compliance with funder guidelines and eligibility requirements
  • EITC program management: Promote EITC Tax Credit program and encourage business and corporations to make eligible contributions to the Frick; complete annual renewal and reporting requirements.
  • Collaboration: Work with program, finance, and administrative teams to gather data, design projects, and build budgets
  • Evaluation: Conduct program evaluations to measure success and ensure compliance with grant requirements
  • Reporting: Monitor, report, and interpret donor activity on a weekly, monthly, and quarterly basis and communicate to appropriate staff. Create and implement contingency plans when needed.
  • Prepare and submit interim and annual reports to funders.
  • Relationship Management: Serve as the primary liaison with funders, partners, and internal stakeholders; participate in information sessions and calls for applications
  • Stewardship: Communicate with funders and new prospects, maintain stewardship records
  • General administration: Support other efforts and complete other duties as assigned.
