Job summary

The Grants Coordinator at Southern Ute Indian Tribe will plan, write, edit, and prepare grant applications, researching foundation, federal, and state opportunities in collaboration with Tribal staff. The role supports compliance and financial reporting for funded programs.

Responsibilities include developing grant workplans and budgets, assembling application packages, tracking submissions, and presenting proposals to Tribal leadership.

Qualifications

  • Must have a BA/BS in Professional/Technical Writing, Communication, Marketing, English, or related field.
  • Must have 2 years of grant writing experience including preparing grant applications and renewals.
  • Must have experience reviewing and interpreting sponsor, state, and federal grant regulations.
  • Must provide demonstrated record of securing funding because of grant applications and renewals.
  • Must have advanced computer skills including Microsoft Word, Excel, and Adobe Acrobat®.
  • Must have general experience and knowledge of finance, budget development, and grant administration.
  • Must complete a Microsoft Word and Excel exercise to verify knowledge and writing ability.
  • Must pass a thorough criminal history background check.

Responsibilities

  • Identify programs and secure funding for Tribal needs.
  • Coordinate grant prep assignments across departments.
  • Research new grant opportunities for Environmental Programs.
  • Provide grant overviews and updates to leadership.
  • Develop grant workplans and budgets with input from leadership.
  • Assemble and review grant packages for accuracy.
  • Edit final grant applications.
  • Ensure compliance with policies, guidelines, and deadlines.
  • Prepare tables and graphs for grant proposals.
  • Present grant resolutions to Tribal Council.
  • Maintain tracking records of proposals.
  • Train staff on grant funding topics.
  • Maintain resource materials for grant management.
  • Monitor programs for federal/state/private grant compliance.
  • Prepare financial reports for funding agencies.
  • Liaise with funding agency specialists and partners.
  • Assist Air Quality Division with state funding requests.
  • Coordinate with CFO and Contracts & Grants Manager.
  • Other duties as assigned.

Job description

POSITION SUMMARY: The Grants Coordinator is responsible for planning, writing, editing, and preparing grant applications; conducting prospect/foundation/federal agency research, working closely with Tribal staff members on grant application matters. In addition, the Grants Coordinator is responsible for assisting in monitoring programs to ensure compliance with grant or contract regulations including financial and budget reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists the Environmental Programs Department Division Heads and Managers in identifying programs responsive to Tribal needs and securing funding to operate these programs.
  • Initiates and conducts Tribal inter-department meetings to identify and prioritize projects requiring grant funding sources to implement, coordinate, and research grant preparation assignments.
  • Seeks out and researches new grant funding opportunities and other potential sources of funding for the Tribal Environmental Programs Department.
  • Responsible for providing grant funding opportunity overviews and updates to the Environmental Programs Department Director and Division Heads and other staff, as requested.
  • Responsible for assisting with and coordinating writing grant workplans and budgets for the Environmental Programs Department with input from the Department Director and Division Heads.
  • Responsible for assembling grant application packages including review of all grant packages for accuracy, completeness, and clarity to ensure grant conformance.
  • Responsible for editing and/or reviewing final grant applications
  • Responsible for ensuring that grant application packages adhere to all required polices, guidelines, and deadlines.
  • Assists in preparing the necessary tables and graphs for grant applications.
  • Assists the Environmental Programs Department Director and Division Heads in presenting grant resolutions and applications to Tribal Council.
  • Records all relevant information regarding proposal submissions and associated documents into a tracking spreadsheet.
  • Develops and conducts training related to grant funding selection, application development, and submission for the Environmental Programs staff.
  • Develops and maintains resource materials to assist the Environmental Programs Department Director and Division Heads with grant management.
  • Assists in monitoring programs to ensure compliance with Federal, State, and private grant or contract regulations, including monitoring budgets, collecting reports from Division Heads and completing required reports.
  • Assists in maintaining official, auditable records and preparing financial reports and official documents for timely submission to funding agencies.
  • Maintains a liaison position with appropriate funding agency specialists and grant partners.
  • Assist the Air Quality Division with annual requests to the State of Colorado for funding to support the administration of the SUIT/State of Colorado Environmental Commission and air programs prescribed by the Commission.
  • Coordinates and responds to requests from the Tribal Chief Financial Officer and Contracts & Grants Manager.
  • Performs other job-related duties as assigned.

PREFERRED QUALIFICATIONS:

  • Five years of grant writing experience.
  • Grant writing experience working for a Native American Tribe or organization.
  • Demonstrated record of securing more than $200K in funding as a result of grant applications and renewals.
  • Experience using grants.gov and/or similar grant application/administration sites.
