Overview

POSITION TITLE: Grants Accountant (1.0 FTE)

Mission:

The Grants Accountant plays a vital role in supporting the financial health and operational growth of PALSS by managing grant-related financial activities, ensuring compliance with funding requirements, and maintaining accurate and timely financial documentation. This position directly supports PALSS’s mission to provide compassionate care and essential services to individuals affected by HIV/AIDS.

Reports To: Chief Financial Officer (CFO)

Collaborates With: Staff Accountant, internal program staff, external partner organizations, grant funders, contractors, and vendors.

Position Summary

The Grants Accountant is responsible for managing the full accounting cycle for grant-funded programs, including pre- and post-award activities, financial reporting, and compliance monitoring. This role ensures timely reimbursement, accurate documentation, and adherence to federal, state, and private grantor guidelines. The ideal candidate is detail-oriented, collaborative, and experienced in nonprofit fund accounting and grant management.

Qualifications

  • Bachelor’s degree in Accounting, Finance, or a closely related field required
  • Minimum 5 years of professional accounting experience
  • 2–3 years of nonprofit experience with grant accounting preferred
  • Proficiency in spreadsheet tools (Excel or Google Sheets), including formulas and pivot tables
  • Familiarity with nonprofit fund accounting principles
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively across teams
  • Preferred: Knowledge of OMB Uniform Guidance (formerly OMB Circulars), A-133 audit requirements, and federal/state grant regulations

Key Responsibilities

Accounts Payable & Expense Management

  • Code and process all accounts payable transactions to appropriate grants/programs
  • Maintain vendor relationships and ensure timely payments
  • Record staff expense reports, bank transactions, and credit card activity
  • Reconcile bank and credit card accounts monthly
  • Prepare monthly accruals and journal entries
  • Maintain asset and depreciation schedules
  • Track and post accrued salaries and leave balances
  • Assists with accurate month-end close procedures

Grant Financial Management

  • Prepare and submit timely grant invoices and reimbursement requests
  • Monitor grant budgets and expenditures for compliance and allowability
  • Collaborate with program managers to develop grant budgets and spending plans
  • Track program financial performance across the grant lifecycle
  • Generate budget-to-actual reports for internal and external stakeholders

Reporting & Analysis

  • Assist in preparing monthly financial reports and dashboards
  • Support development of grant budgets and budget narratives for proposals
  • Provide financial data for program evaluations and strategic planning

Audit & Compliance

  • Prepare year-end schedules and documentation for external audits
  • Ensure compliance with internal controls and accounting policies
  • Maintain readiness for A-133 and other grant-specific audit

Technology & Systems

  • Support setup and maintenance of accounting and timekeeping systems
  • Ensure proper integration between financial systems and reporting tools

Other Duties

  • Participate in staff meetings, trainings, and agency-sponsored events
  • Contribute to cross-functional initiatives and special projects as needed
