Job Summary

The Grant Writer supports the mission and strategic priorities of Boys & Girls Club of Benton County by identifying, developing, and submitting competitive grant proposals. This position manages the grant acquisition process from initial prospect research through application submission and award notification.

Working closely with organizational leadership, program staff, and finance personnel, the Grant Writer gathers information, develops compelling narratives and budgets, and ensures each application is accurate, complete, and submitted on time. The primary responsibility of this position is to secure new and ongoing grant funding that expands opportunities for local kids & teens.

Once funding is awarded, the Grant Writer will coordinate a formal handoff of the grant requirements, documentation, and reporting expectations to the Director of Federal Grants.

Responsibilities
Grant Research & Prospecting
  • Research and identify local, regional, state, federal, corporate, and private foundation funding opportunities.
  • Monitor funding trends, grant announcements, and funder priorities.
  • Research prospective funders to understand their interests, eligibility requirements, geographic focus, typical award amounts, and funding history.
  • Evaluate opportunities based on organizational eligibility, program alignment, competitiveness, potential funding, and the level of effort required.
  • Maintain an organized pipeline of prospective funding opportunities, deadlines, and application statuses.
  • Recommend grant opportunities for leadership consideration.
Proposal Development
  • Develop clear, compelling, and persuasive grant proposals, letters of inquiry, letters of intent, and other funding applications.
  • Write proposal narratives that may include organizational background, statements of need, program descriptions, goals, objectives, measurable outcomes, evaluation plans, and sustainability strategies.
  • Tailor each proposal to the funders' priorities while maintaining alignment with BGCBC's mission, programs, and strategic goals.
  • Incorporate organizational data, program outcomes, community needs, and relevant research into applications.
  • Collaborate with finance staff to develop accurate proposal budgets and budget narratives.
  • Create proposal timelines and coordinate application components across departments.
Internal Collaboration
  • Work collaboratively with leadership, program, finance, and other staff to gather the information needed for competitive applications.
  • Clearly communicate application requirements, deadlines, responsibilities, and information needs to internal stakeholders.
  • Follow up with staff to ensure required information and documentation are received by established deadlines.
  • Develop and maintain an organized collection of frequently requested organizational information, program descriptions, outcomes, financial documents, and supporting materials.
  • Protect confidential organizational, employee, member, and family information throughout the application process.
Application Submission & Tracking
  • Manage multiple grant application timelines and deadlines.
  • Prepare and submit complete applications through online portals, email, or other required submission methods.
  • Proofread and edit proposals and supporting materials for accuracy, clarity, consistency, and compliance with funder instructions.
  • Confirm that all required attachments, approvals, signatures, budgets, and supporting documents are included before submission.
  • Maintain organized records of submitted applications, correspondence, and funding requests.
  • Track application statuses and communicate funding decisions to appropriate organizational leadership.
  • Coordinate the formal handoff of awarded grants to the Director of Federal Grants, including the approved proposal, budget, award documents, reporting schedule, and funder requirements.
Funder Relationship Support
  • Maintain current knowledge of existing and prospective funders.
  • Participate in funder meetings, information sessions, site visits, and related activities as appropriate.
  • Assist organizational leadership in preparing for funder conversations and meetings.
  • Support the development of positive, long-term relationships with current and prospective funders.
  • Identify potential renewal opportunities and future funding requests.
Additional Responsibilities
  • Represent BGCBC professionally and positively in interactions with funders, community partners, staff, and other stakeholders.
  • Support a collaborative, respectful, and mission-centered workplace culture.
  • Maintain accurate records and follow organizational policies related to confidentiality, document retention, and data security.
  • Participate in staff meetings, professional development, and organizational activities as requested.
  • Perform other duties as assigned to support BGCBC's mission and Resource Development goals.

Required Qualifications
  • Demonstrated experience in grant writing, proposal development, fundraising, nonprofit communications, or a related field.

  • Demonstrated ability to produce professional work within established deadlines.
Preferred Qualifications
  • Bachelor’s degree in communications, English, nonprofit management, public administration, business, or a related field.
  • Two or more years of nonprofit grant writing experience.
  • Demonstrated history of successfully securing grant funding.
  • Experience with private foundation and corporate grant applications.
  • Experience with local, state, or federal funding applications.
  • Experience developing grant budgets in collaboration with finance personnel.
  • Experience using grant research databases, prospecting tools, or online grant portals.
  • Knowledge of nonprofit organizations, community-based programs, or youth development services.
Physical Requirements & Work Environment
  • Ability to perform work that primarily involves sitting, using a computer, communicating by phone or video, and reviewing detailed written materials.
  • Ability to occasionally lift and carry materials weighing up to 20 pounds.
  • Ability to attend meetings, funder visits, and organizational activities as needed.
  • Work may be performed in an office, Club, community, or remote environment based on organizational needs.
