Position

Grant Coordinator serves as the administrative and supportive backbone of the organization’s national grant portfolio, supporting consistent grant tracking, documentation, reporting, and compliance activities across all regions. From grant award notice through contracting, execution, ongoing maintenance, closeout, and renewal, this role coordinates and completes required grant documentation, maintains accurate trackers and internal systems, manages grant-related registrations and vendor accounts, and ensures records are complete, current, and audit-ready.

Responsibilities
  • Support the full grant lifecycle from award notice through contracting, execution, ongoing maintenance, closeout, and renewal by coordinating and completing required administrative and reporting tasks.
  • Assist with grant contracting administration, including completing required documents, coordinating internal review and signatures, preparing submission-ready files, tracking contract status, and ensuring executed agreements are properly stored.
  • Add new grants and amendments to internal tracking systems (e.g., Smartsheet, SharePoint, contract management platforms) and maintain accurate, up-to-date grant status, timelines, and reporting requirements.
  • Maintain comprehensive tracking of all grant reporting requirements, due dates, submission platforms, and responsible parties across the national grant portfolio.
  • Monitor reporting timelines and proactively follow up with clinic and regional teams to support timely and accurate report submission.
  • Provide hands-on assistance to regions and clinics with report preparation, data compilation, form completion, and submission when additional support is needed.
  • Serve as a primary administrative point of contact for clinic directors and regional staff for post-award grant questions, documentation needs, and reporting support.
  • Conduct proactive one-on-one check-ins with clinic leadership as needed to assess reporting readiness, documentation status, and support needs.
  • Manage grant-related registrations and accounts, including SAM.gov, UEI, and other federal, state, or funder-specific vendor portals; monitor renewals and ensure information remains current.
  • Coordinate vendor account setup, EFT enrollment, and other payment-related administrative requirements for new and existing grants as needed.
  • Organize, store, and maintain complete, audit-ready grant records, correspondence, agreements, reporting templates, forms, and submissions in SharePoint and other internal systems.
  • Assist with new grant setup by reviewing award requirements and preparing or tailoring grant-specific tools, forms, attestations, and tracking templates for clinic use.
  • Coordinate with clinics to ensure grant-specific tools and forms are implemented correctly and aligned with funder requirements.
  • Extract, compile, and analyze key grant data for internal tracking and leadership.
  • Prepare internal summaries, dashboards, and reports to support leadership visibility into grant activity, progress, and impact.
  • Independently complete delegated grant-related tasks, including completing forms, updating budgets, revising documents, and coordinating submissions.
  • Communicate directly with funders when regional staff are unavailable or when continuity is required.
  • Maintain organized systems and processes that support ongoing compliance and audit readiness.
  • Perform other grant-related duties as assigned.

Education / Experience / Skill Requirements
  • Bachelor’s degree required; post-award grant experience strongly preferred.
  • Experience supporting grant administration, reporting, compliance, or contracting in a complex, multi-site or high-volume environment.
  • Strong organizational and analytical skills, with the ability to manage multiple concurrent grants and shifting deadlines.
  • Demonstrated ability to independently manage administrative and documentation processes from start to finish, taking initiative to identify and complete needed tasks.
  • Adaptable and flexible, with comfort working in a dynamic environment where workload and priorities may vary by grant or region.
  • Excellent written and verbal communication skills, including comfort communicating with funders and internal stakeholders.
  • Ability to work collaboratively across regions and departments using relationship-building, and clear communication.
