Position Title: Graduate Student Services Specialist II

Job Group: Professional & Scientific

Required Minimum Qualifications: Bachelors degree and 2 years of related experience

Preferred Qualifications: Previous experience recruiting in a higher education setting, experience working in student services within higher education, administrative support experience including scheduling and coordinating events, proficiency in student information systems (e.g., Workday) and marketing tools (e.g., Constant Contact)

Job Description:

Summary

Iowa State Online, part of The Center for Excellence in Learning and Teaching, seeks a dedicated Graduate Student Services Specialist to support online students. This role involves guiding prospective and current students through recruitment, admissions, retention, and conferral processes, ensuring a seamless experience and fostering student success. Effective communication, time management, and organizational skills are essential.

All staff are expected to interact collegially, maintaining high standards of integrity and ethics.

Candidates must be legally authorized to work in the U.S. without sponsorship.

Key Responsibilities
  1. Recruitment & Admissions Support: Assist prospective students with admissions, providing program information, resources, and engagement opportunities.
  2. Resource Referrals: Guide students to resources that support academic success and retention.
  3. Collaboration with Campus Units: Work with online programs and campus departments to facilitate activities, support processes, and manage requests from recruitment to conferral.
  4. Communication and Marketing: Maintain promotional materials for online programs, ensuring accuracy and alignment with goals.
  5. Enrollment & Retention Support: Assist with application, enrollment, registration, withdrawal, schedule changes, and pre-matriculation procedures.
  6. Orientation & Onboarding: Support new online student orientation and onboarding for successful transition.
  7. Student Progress Monitoring: Monitor academic progress and intervene as needed to support success.
  8. Promotion of Online Programs: Participate in events to promote online programs and increase awareness.
Level Guidelines

Intermediate-level position with broad knowledge, applying principles to complex problems, exercising judgment within procedures, and possibly leading projects or providing guidance to students.
