Job Summary

The Office of Graduate and Postdoctoral Studies (OGPS) in the University of Michigan?s Medical School is looking for an admissions and recruitment professional to join our team. The Graduate Enrollment Coordinator will be responsible for:

  • Functional operations for recruitment and admissions of prospective students for the Program in Biomedical Sciences (PIBS), Postbac Research Immersion and Mentorship Experience (UM PRIME), and the Postbac Premedical Program (MEDPREP);
  • Working collaboratively with OGPS teams and other UM units to coordinate and implement meaningful programs/services that focus on the common needs of all trainees;
  • Following through with strategic initiatives as set forth by the Associate Director of Enrollment & Academic Services and the Graduate Enrollment Manager.

Travel is required for this position, as well as working weekends and being on-call 24/7 during interview weekends. In addition, this position is expected to be an active member of NAGAP and BIOGAP and attend national meetings and present when appropriate. The Graduate Enrollment Coordinator reports to the Graduate Enrollment Manager.

OGPS provides comprehensive support services to 900+ masters, doctoral, and post-baccalaureate students as well as 450+ postdoctoral fellows within the medical school. Every year we hit the road in search of the most highly qualified and diverse student population. The Graduate Enrollment Coordinator is critical in our efforts to recruit and admit the best and brightest students.

The duties and responsibilities for this position can be categorized into five main domains:

Responsibilities
25% Recruiting & Outreach
  • Prominently represent Michigan Medicine at select undergraduate institutions, as well as recruitment fairs and conferences, including ABRCMS and SACNAS.
  • Partner with undergraduate institutions across the nation to develop strong recruitment pipelines and services to help recruit underrepresented trainees.
  • Foster new areas to target for recruiting and assist with other recruiting activities, such as UM faculty talks at other universities.
  • Advise prospective students.
10% Admission Operations
  • Responsible for the overall application process, maintenance, and final reporting for the Program in Biomedical Sciences (PIBS), Postbac Premedical Program (MEDPREP), and Postbac
  • Research Immersion and Mentorship Experience (UM PRIME).
  • Track and communicate all admissions decisions. Administer post-admission surveys.
30% Event Management
  • Coordinate PIBS interview weekends, MEDPREP, and PRIME interviews.
  • Coordinate all aspects of various recruitment trips, including registration, travel, lodging, and event management.
  • Coordinate logistics for PIBS Interview Weekends, including travel, lodging, and reservations.
  • Coordinate event staff, volunteers, vendors, and speakers during events.
  • Coordinate event registration and attendee communications.
15% Special Projects
  • Coordinate and participate in various on-campus recruitment activities, such as Preview, Advisor Visits, and Summer Research Open House.
  • Active member of NAGAP and BioGAP; attend national meetings and conferences and present when appropriate.
  • Collaborate with various team members on projects.
20% General Administration
  • Develop, implement, and assess communication plans including social networking, webinars, and email.
  • Process applications and status information and assist in managing applicant evaluation systems.
  • Serve as the admissions point of contact for PIBS, MEDPREP, & PRIME Programs
  • Communicate with stakeholders regarding important deadlines, events, and changes
  • Attend staff, team, and project meetings.
  • Perform additional duties and responsibilities as assigned related to the position.
  • Responsible for communications and correspondence with potential students/learners, current students/learners, faculty, and alumni.
Required Qualifications
  • Bachelor's degree and 1-2 years of relevant experience in higher education administration or student recruitment and admissions.
  • Willingness to travel and be on-call 24/7 during recruitment events and interview weekends.
Desired Qualifications
  • Experience in graduate student recruitment and admissions
  • At least two years of experience recruiting and admitting within the STEM field.
  • Experience and proven success in recruiting underrepresented students.
  • Working knowledge of University and Rackham policies, procedures, and practices related to graduate student admissions.
  • Experience with University reporting tools and University general policies/procedures.
  • Knowledge of policies and trends affecting graduate and/or biomedical science education.

Modes of Work

Additional Information

The expected salary range is $52,000 - $62,000. A higher salary may be offered based on the qualifications, years of experience, and benchmarking with other employees within Michigan Medicine with the same job title.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
