Government Proposal and Bid Specialist - Job Overview:

We're seeking a talented and experienced Government Proposal and Bid Specialist to join our growing company. This is a high-impact role designed for growth within the company, crucial to driving our long-term business success.

You'll be primarily responsible for searching for qualified bids, completing and processing Federal, State, County, and City RFX's (Requests for Bids, Request for Quotes/Proposals). This includes preparing all documents required for the bid responses and submitting bid paperwork accurately and on time. You'll also establish and maintain Vendor Registrations, the vendor portal, and bid website access. In addition, you'll be responsible for maintaining contracts awarded from inception (bid award) to final completion (final renewal period).

The keys to success in this role are superb orientation to detail, excellent collaboration and team player abilities, strong communication and negotiation skills, and taking ownership of becoming a subject matter expert for ACI on all government-related bids and sales agreements.

Government Proposal and Bid Specialist - How You'll Make a Difference:


  • Bids Search: You'll have oversight of timely and accurate, high-quality bids that differentiate Applied Concepts, Inc., from competitive responses, along with overseeing the search for potential bids and conducting research on previous bids and Excellent internal and external communication skills will be crucial as you distribute bid copies to the appropriate personnel and manage their responses.

  • Bid Response: You'll coordinate pricing analysis and strategy with the Contracts Manager, maintaining a bid log and tracking results that include the date, successful vendor, and You'll also maintain pricing history on the Master sheet for all awarded contracts, prepare and review Bid Response Review Worksheets, and manage and track delivery of the bids to potential customers. Additionally, you'll report on the results of the bids and bid awards to the Sales team and Executive Management Group.

  • Contracts Administration: Maintaining awarded contracts including renewal paperwork, analyzing price history to formulate justifications for increases, and adding or deleting products are some of the highest impact aspects of this role. You'll oversee completion of special contract requirements including, but not limited to, bid bonds, certificates of insurance, certifications, usage reports, etc.

  • Interdepartmental Liaison: You'll assist Sales in adhering to Contracts along with various tasks in coordination with Accounting and Administration for the quarterly reports/contracts audit. As this role expands within the company, other duties may be assigned.

Government Proposal and Bid Specialist - What You'll Need to Succeed:

  • Detail-oriented, highly organized, and methodical; takes ownership of projects with emphasis on accuracy
  • Bachelor's Degree
  • 5+ years in government bids and contract administration
  • Outstanding written and verbal communication, with strong interpersonal skills and ability to collaborate at all levels; maintains professionalism under pressure
  • Proficient in Microsoft Office (especially Excel), Adobe Acrobat Pro, Adobe Sign, and/or DocuSign
  • Skilled at reading, comprehending, and explaining complex contracts and bids to diverse stakeholders
  • Possess a strong desire to learn with a positive attitude.
  • Excellent listening, prioritization, and time management; proven ability to manage multiple projects with strict attention to detail
  • Maintains confidentiality at all times

We will be particularly interested if you have:

  • 5+ years of experience as a Sales Operations Administrator or Pricing Administrator, preferably in the business-to-government market.
  • Business equipment/commodities sales experience to government/law enforcement entities.
