Responsibilities

  • Handle administrative duties for the GCR department, including minutes and delivering materials
  • Maintain documents, databases, and contacts; update information as needed
  • Use Tessitura for stakeholder data, interactions, and reporting of government appropriations
  • Track tickets, attendance, performance metrics, and budgets in Excel
  • Coordinate event and ticketing logistics with other departments and partners
  • Develop research-based documents and internal/external materials for government meetings and hearings
  • Manage Lincoln Center’s calendar of community and government events and prep deliverables
  • Support prospect and partnership pipeline research and data compilation across departments
  • Assist with city/state reports and applications; compile raw data from multiple teams
  • Support Senior Director with special projects; occasional evenings/weekends required

Job description

Position: Government and Community Relations Coordinator

Department: Government and Community Relations (GCR)

Role Overview: Reporting directly to the Senior Director of Government and Community Relations, the Coordinator would support needs across the cross-functional team. Coordinator would be responsible for data tracking, maintaining data integrity, handling events and ticketing logistics, support in preparation of materials, and providing general administrative support.

This is a full-time salaried position with benefits.

Primary Responsibilities
  • Handle administrative responsibilities for the department, including writing meeting minutes, delivering materials to elected officials and commissioners, and arranging tickets for performances, among other essential duties
  • Systems maintenance of all documents, databases, and contacts used by Government and Community Relations, and updating information, as necessary.
  • Use Tessitura consistently for stakeholder contact details, tracking interactions, plans, and listing awarded government appropriations at the city, state, and federal levels in the system; Research and establish the most efficient way for each GCR team member to make updates in Tessitura
  • Track tickets, attendance, performance metrics, and budgets in Excel
  • Coordinate event and ticketing logistics, including communications with other departments and external partners
  • Develop documents with focused research and data relevant to government and community leaders
  • Develop initial drafts of internal and external materials, like newsletters, collateral for government meetings, budget hearing testimony, and other materials
  • Manage the robust calendar of community and government events and partner meetings, as well as the schedule for prep deliverables
  • Research support on prospect and partnership pipeline
  • Assisting with Lincoln Center’s submission of various city and state reports and applications; Compile raw data across various departments
  • Other duties and special projects as assigned by the Senior Director, Government and Community Relations
  • Occasional evening and weekend work is required
Qualifications
  • High School Diploma or GED equivalent preferred with a minimum of 1-year related experience
  • At least 2 years of administrative experience working in an office environment
  • Excellent verbal, written and communications skills
  • Demonstrated organizational, time management, and multi-tasking skills
  • Experience with a CRM or donor database like Tessitura
  • Proficiency with MS Office Suite (Word, Excel, PowerPoint, SharePoint, etc.) and Canva
  • Knowledge of government, local community issues, and organizations
  • Ability to work independently, reliably, and be self-motivated
  • A can-do spirit of collaboration, communication, and roll-up-your-sleeves flexibility of attitude as a valuable team player
  • Ability to work efficiently and with accuracy in a fast-paced, deadline-driven environment
  • Bilingual and literate in Spanish and/or Mandarin is a plus, but not required
