  • Support GoodWorks programs, trainings, and outreach with documentation and reports.
  • Coordinate materials, outreach, and communications with internal and external partners.
  • Assist with calendar management and travel arrangements as needed.

Position SummaryThe GoodWorks Office Assistant is an integral member of Southern Oregon Goodwill’s mission services team dedicated to workforce development. This poised, professional individual enthusiastically delivers services directly tied to Southern Oregon Goodwill’s mission to enable employment by providing opportunities for personal and professional growth, while committing to sustainable practices. The GoodWorks Office Assistant is responsible for providing exceptional customer service to Job Connection customers (job seekers) and is comfortable working with diverse populations while supporting them with job search strategies, conducting work readiness assessments, providing career counseling, and conducting in-person and virtual trainings. This marketing-minded individual supports the communication, organization, and overall operation of the GoodWorks team. This role provides excellent customer service to a variety of stakeholders, performs work requiring the application of initiative and judgement in communication across a variety of levels, and modalities, as well as organizes work procedures, answers, and directs incoming calls to the appropriate individuals, returns calls, distributes program materials to internal and external stakeholders, and additional clerical duties in support of the GoodWorks programs.Essential ResponsibilitiesProvide exceptional customer service while supporting persons served through Southern Oregon Goodwill’s various Workforce Development programs, including the Job Connection, GoodWorks Intern Program, GoodWorks Advancement Programs, and the public.Possess top-notch interpersonal and communication skills, including the ability to work well with diverse populations such as individuals with varying education, skill sets, and those experiencing challenging life circumstances.Thorough understanding of Southern Oregon Goodwill’s mission, programs, and services and the ability to articulate them to various stakeholders.Develop and maintain an understanding of work in Goodwill’s Retail, Production and Warehouse departments as needed to meet the needs of the organization’s goals.Support the development and maintaining of robust partnerships with external/community partners, resource agencies, local and regional hiring managers/employers, and other Goodwill departments.Supports the recruitment of participants in Southern Oregon Goodwill’s GoodWorks programs.Consistently follows the set processes and procedures for the Job Connection and GoodWorks ProgramsMay serve as post-employment liaison to employers and on-going employment resource to program graduates.Prepare timely, objective, and measurable reports and documents such as program outcome reports and success stories. Provides administrative support to the GoodWorks team and assists staff as requested.Performs general office duties including answering phones, returning messages, scheduling, typing, filing, and tracking of confidential information.Inventories Job Connection and GoodWorks materials, and places orders through the Director of GoodWorks and the Director of Administrative Services.Completes computer data entry work, using current platforms (Caseworthy, Excel, Jotform, Microsoft Forms, Teams, etc.), to input a high volume of data with speed, accuracy, including confidential data, in an environment with constant interruptions.Appropriately maintains and secures confidential records and inquiries.Maintains the Job Connection Calendar as well as stays apprised of the GoodWorks teams’ schedule.Manages special projects and events as assigned by the Director of GoodWorksArranges bus passes and communicates the coordination of bus routes to Job Connection customers and GoodWorks participants.Supports supervisor in the development and distribution of correspondence and independently composes correspondence on routine matters. Provides support training for and may oversee GoodWorks participants during their program.Prepares participant timecards and program paperwork for the GoodWorks staff as needed.Answers correspondence that does not require supervisor’s attention.Communicates correspondence needs with supervisor or other GoodWorks team members when their attention or participation is required.Works with the Marketing Specialist to ensure consistent signage and materials are upkept and communicates new projects or needs in a timely manner.Ability to travel locally and regionally as needed.May be assigned other duties based on business need.Experience / QualificationsTwo years recent and relevant experience that would lend itself to expertise in this field required. High School diploma or equivalent preferred.Language Skills:Ability to effectively present written and verbal information, professionally respond to questions from a variety of individuals, such as employees, participants, customers, and the public using tact, courtesy, and cooperativeness.Other Skills and AbilitiesMust be proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Teams), Internet, and other business digital platforms.Certificates, Licenses, Registration:Current regular Oregon Driver’s License (California Driver’s License for California employees). Please note successful candidates must have a valid full driver’s license (not a permit, temporary or provisional license) for at least the last 3 years, as well as a clean driving record and insurance. Reliable independent transportation, with the ability to drive locally and regionally year-round as needed.Physical Requirements and Working Environment:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Ability to push/pull and carry up to 30 pounds. Kneels, stoops, and bends frequently. Occasional need to push heavy, wheeled carts, pallet jacks, hand trucks and other material handling equipment with loads weighing up to 250 pounds. Specific vision abilities required by this job include close vision. Local and regional travel is required. Work is performed primarily indoors in a climate-controlled space.
