DEFINITION

To perform, supervise, and coordinate the programs and activities of Hillcrest Golf Course and the relationships between the facility, its patrons, employees, community, and industry. Participate in developing operating policies and procedures, monitor the budget, monitor quality of products and services and ensure maximum customer satisfaction. Secure and protect assets, including financial, facilities and equipment. Coordinate assigned activities with other City departments, divisions, and outside agencies. Provide highly responsible and complex support to the Director of Public Service with regard to golf operations.

SUPERVISION RECEIVED AND EXERCISED

Receives administrative direction from the Director of Public Service.

Exercises general supervision over pro shop seasonal staff.

Essential Functions

ESSENTIAL AND MARGINAL FUNCTION STATEMENTSEssential and other important responsibilities and duties may include, but are not limited to, the following:

  • Assume responsibility for all services and activities of the Golf Course pro shop including planning, directing, assigning, reviewing and coordinating the operations and maintenance of the pro shop. Maintain and promote a professional image with the community. Ensure compliance with local, state and federal regulations.
  • Participate in the development and implementation of goals, objectives, policies, and priorities for assigned programs, recommend and administer policies and procedures. Make recommendations for capital improvements, supplies and equipment
  • Oversee the daily activities and operations of the pro shop; assure high standards and total customer satisfaction, including but not limited to:
  • Oversee reservation system, starting and monitoring of play, track and verify all players and guests, golf cars, club care, handicap fees and other charges necessary and facilitate proper controls.
  • Perform daily bookkeeping of receipts and maintain proper records; assist Finance Department to ensure proper accounting of budgeted money and daily receipts
  • Meet, greet and welcome prospective customers/patrons. Assist in marketing and promotion of new memberships/play.
  • Enforce all rules and regulations governing golf course usage
  • Develop and manage an innovative tournament program
  • Promote and oversee concession area, including purchasing and inventory; ensure compliance with health regulations
  • Maintain and oversee a profitable merchandise concession, including physical inventories and display of merchandise
  • Maintain an accurate and current filing system for invoices, purchase orders, delivery tickets and other related paperwork.
  • Assist in hiring, training and supervision of all staff. Train and motivate personnel; provide or coordinate staff training; work with employees to

correct deficiencies. Prepare work schedules and prepare all pro shop staff time sheets/payroll.

  • Monitor rental golf carts ensuring batteries are properly charged; handle or coordinate any needed maintenance or repair.
  • Serve as liaison for the golf course with other City departments, divisions and outside agencies; negotiate and resolve sensitive and

controversial issues.

  • Conduct a variety of organizational studies, investigations, and operational studies; recommend and initiate programs to provide members with a

variety of innovative functions.

  • Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field.
  • Respond to and resolve difficult and sensitive citizen inquiries and complaints.
  • Perform related duties and responsibilities as required or assigned.

Requirements

Knowledge of:

Operations, services and activities of an 18-hole golf course.

Organizational skills to analyze programs, policies and operational needs.

Food handling regulations

Methods and procedures of purchasing, payroll and bookkeeping, inventory control.

Skills to analyze programs, policies and operational needs.

Modern office procedures, methods and computer equipment.

Modern computer software applications including Word, Excel, Publisher

Recent developments, current literature and sources of information regarding innovative golf programs.

English usage, spelling, grammar and punctuation..

Pertinent Federal, State and Local laws, codes and regulations.

Ability To

Plan, organize, direct and coordinate the work of personnel.

Experience And Training Guidelines

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:

Experience

Two (2) years of increasingly responsible experience in a related field such as retail sales or concession operations.

Training

Equivalent to the completion of the twelfth grade.

License or Certificate

Possession of, or ability to obtain, an appropriate, valid Kansas driver’s license.

WORKING CONDITIONS

Environmental Conditions

Golf Course and construction site environment; exposure to inclement weather conditions; noise, dust, potentially hazardous chemicals; computer screens.

Physical Condition

Essential and marginal functions may require maintaining physical condition necessary for walking, standing and sitting for prolonged periods of time; general manual dexterity; operating motorized equipment and vehicles; ability to distinguish color.
