Job Description Summary

Reporting to Global Trade IFE Manager, this position is mainly responsible for complete and accurate data and document collection and analysis to ensure timely closure of BD TIB/IFE entries with US Customs and FDA. This position requires strong analytical capability to execute data matching at batch level for 3.5 to 4 million pieces of products annually. This position works with IFE manager to ensure TIB/IFE SOP is followed by the parties identified on the custody letter. The IFE specialist is responsible for ensuring timely receipt of reports from the parties identified in SOP and meeting record retention requirements. This position works cross-functionally with Procurement, Master Data Organization, Global Transportation, Distribution Centers and Regulatory Affairs to ensure that TIB/IFE compliance requirements are met. This position requires knowledge and experience of US import and export regulations.

POSITION SCOPE

This position works with IFE manager to ensure TIB/IFE SOP is followed by the parties identified on the custody letter. The IFE specialist is responsible for ensuring timely receipt of reports from the parties identified in SOP and meeting record retention requirements. This position works cross-functionally with Procurement, Master Data Organization, Global Transportation, Distribution Centers and Regulatory Affairs to ensure that TIB/IFE compliance requirements are met. This position requires knowledge and experience of US import and export regulations.

RESPONSIBILITIES

  • Maintain the Temporary Inbound (TIB) and Import For Export (IFE) master log sheet which collects relevant import and export information for TIB entry closure by updating it daily with received import and export data in a timely and accurate manner.
  • Obtain monthly report from the exporters on time and compare the report with the master log sheet. Update and request any missing data or documents from the exporters.
  • Closely monitor the reporting and export documents from GDC and ensure them to be saved in the Share drive timely. Ensure a timely escalation if any exports are delayed.
  • Create one file for each import entry at the time of import clearance and maintain the file by collecting complete and accurate import and export documents at least one month before closure date. File must be complete and ready for submission for TIB/IFE closure.
  • Responsible for retaining all import/export documents as required per regulations.
  • Communicate any discrepancies to the responsible parties identified on SOP on and resolve in a timely manner. Escalate any unresolved issues immediately to the IFE manager.
  • Support any “Return to Vendor” request due to damages or quality issues.
  • Support TIB/IFE SOP training.
  • Support any ERP system upgrades and testing.
  • Run and analyze different reports as requested.
  • Periodically request updated SKU list from exporters.

POSITION REQUIREMENTS

EXPERIENCE:

  • Strong experience with data analytics and report generation is required.
  • Familiar with CBP and other government agencies’ requirements for US imports.
  • Strong experience Adobe is required.
  • SAP/GTS experience is preferred.
