Job summary

Dallas College Foundation is seeking a Gift Processing Specialist to ensure accurate and timely recording of all contributions, supporting fundraising operations. You will collaborate with the Development Team to guarantee prompt donor acknowledgments and stewardship.

Reporting to the Director of Donor Services, this role requires experience with Raiser’s Edge, IRS regulations, GAAP, AFP guidelines, and data integrity. You will generate gift reports and help improve processing policies.

Qualifications

  • Associate’s or bachelor’s degree in business, accounting, nonprofit management, or related field.
  • 2–3 years of gift processing or donor data entry experience.
  • Knowledge of IRS regulations, GAAP, and AFP ethical guidelines.
  • Experience with donor databases (Raiser’s Edge) and reporting tools.
  • Must have a valid driver’s license for occasional travel.

Responsibilities

  • Process and record all charitable contributions accurately in the donor database.
  • Develop, maintain, and regularly update written policies and procedures for gift processing and data integrity.
  • Generate and distribute donor acknowledgment letters and receipts per standards and legal requirements.
  • Regularly reconcile gift records with Finance to ensure data integrity.
  • Monitor data quality, including coding of gifts, campaigns, funds, and appeals.

Job description

Job Summary

The Gift Processing Specialist ensures accurate and timelyrecording of all contributions, supporting the integrity andefficiency of fundraising operations. The Specialist collaboratesclosely with the Development Team to guarantee prompt donoracknowledgments and stewardship activities.

The Gift Processing Specialist will report to the Director of Donor Services. Like all Dallas College Foundation (DCF) employees,this individual is a keeper of the Dallas College Foundationculture of philanthropy.

Essential Duties & Responsibilities
  • Process and record all charitable contributions accurately andpromptly in the donor database (Raiser’s Edge), ensuring compliancewith IRS regulations, GAAP standards, and AFP ethicalguidelines.

  • Develop, maintain, and regularly update written policies andprocedures for gift processing, data integrity, and donoracknowledgments.

  • Generate and distribute timely and accurate donor acknowledgmentletters and receipts in accordance with organizational standardsand legal requirements.

  • Perform regular reconciliation of gift records with Finance toensure accuracy between the donor database and accountingsystems.

  • Monitor and enforce data quality standards, including propercoding of gifts, campaigns, funds, and appeals to support accuratereporting and analytics.

  • Serve as the primary point of contact for internal inquiriesrelated to gift entry, pledge management, and acknowledgmentprocesses.

  • Prepare monthly, quarterly, and annual gift reports forDevelopment leadership and Finance, supporting audits andcompliance reviews.

  • Collaborate with the Director of Donor Services to ensure giftprocessing policies align with stewardship strategies and donorexperience goals.

  • Stay current on industry best practices, IRS regulations, andAFP standards related to charitable contributions, and recommendprocess improvements.

  • Perform other duties as assigned to support the integrity andefficiency of gift processing operations.

  • All employees are required to complete a minimum of 19professional development hours.

Minimum and Preferred – Education, Experience, and/or Certifications
Required Qualifications for Role
  • Associate’s or bachelor’s degree in business, accounting, nonprofit management, or related field (or equivalentexperience).

  • Minimum 2–3 years of experience in gift processing, donor dataentry, or nonprofit fundraising operations.

  • Understanding of IRS regulations for charitable contributions,GAAP standards, and AFP Code of Ethical Principles.

  • Proficiency in donor database systems (Raiser’s Edge preferred),Microsoft Office Suite, and reporting tools.

  • Demonstrated experience in gift processing and donor datamanagement, with a strong grasp of best practices in charitablegift compliance and financial reconciliation.

  • Must have a valid driver’s license for occasional travel tooff-site locations.

  • Ability to work outside of a typical work week on anexceptional, as-needed basis.

  • Strong organizational skills with ability to manage multipletasks, prioritize deadlines, and maintain accuracy.

  • Official transcripts required.

Other Preferred Qualifications for Role
  • Bilingual or multilingual preferred.

  • Experience with nonprofit accounting systems and/or giftcompliance audits.

  • Advanced data analysis or reporting experience.

  • Ability to develop and monitor policies and procedures to ensurecompliance and efficiency.
