Job description

Under the direction of the manager or designee, supports the functions of the Scheduling Office by facilitating and producing the ORMIS Daily OR Schedule and its supporting documents in a timely and accurate fashion.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Scheduling Procedures: Locates orders on the Depot and accurately schedules procedures in the proper Epic system (OpTime, Cupid, Radiant). Scrubs case orders for accuracy and completeness, reviews diagnoses and procedures, reconciles laterality issues, escalates issues, orders grafts/tissues, manages scheduler grid, provides duration estimates, updates databases, optimizes schedules, reschedules cases, and recommends doctor preference cards.
  2. Scheduling Appointments: Schedules appointments with correct provider, coordinates same-day appointments, uses decision tools, manages pre- and post-op appointments, maintains competence with scheduling software, resolves conflicts, and handles patient records and insurance info.
  3. Communication and Decision-Making: Educates patients, communicates schedule changes, manages provider calendars, demonstrates effective communication skills, understands ICD-10 and CPT codes, and collaborates with billing and insurance teams.
  4. Patient Education and Financial Communication: Educates patients and guardians on care processes, communicates authorizations, reviews financial obligations, and explains out-of-network risks.
  5. Customer Service: Provides high-level service to providers and patients, manages initial contacts, explains procedures, and builds positive relationships.
  6. Operational Support: Assists with patient flow, advocates for patients, develops assessment tools, and implements procedural changes.
  7. Policy and Knowledge Maintenance: Adheres to policies, cross-covers registration, verifies demographic info, maintains working knowledge of scheduling and insurance practices.
  8. Teamwork and Professional Development: Works collaboratively, uses reports for efficiency, verifies orders, precepts new staff, mentors, and completes mandatory training.
  9. OR Time Utilization: Ensures OR time is fully utilized, manages cancellations, and monitors utilization to optimize scheduling.
  10. Additional Duties: Performs other assigned tasks.

Position Compensation Range: $18.01 - $27.92 Hourly

MINIMUM REQUIREMENTS

Education: High School Graduate or equivalent required; Associates Degree preferred.

Experience: Internal candidates must demonstrate proficiency in the Access Associate Senior role. External candidates require 3 years' experience in a clinical setting.

License/Certification: None required; CHAA preferred.

OTHER SKILLS:
  • Proficient communication skills, attention to detail, coursework in medical terminology, problem-solving skills, computer proficiency (MS Office, Epic).

Physical requirements include sitting, bending, reaching, lifting (<20 lbs), with exposure to chemicals and biological materials.
