Job Description

Associa is hiring a Deputy General Manager for its large-scale community in McLean, VA.

Candidate must have an active CMCA and experience managing a minimum of 10 direct reports.

Work schedule:

Tuesday–Saturday, 11am – 6pm.

Additional hours required to attend and facilitate Board of Director meetings, Committee meetings, and responding to after-hour emergencies.

Daily responsibilities:

  • Implement Board policy and directives within the scope of the management agreement. Works with the board on strategic initiatives, policy governance and association projects.
  • Walk and inspect property, ensure property is well maintained and HOA Code, Compliance, Rules & Regulations are adhered. Issues violation letters to homeowners and follow-up to ensure remedied.
  • Meet and greet homeowners, residents, members of the Board of Directors, maintenance vendors and contractors.
  • Research and respond to inquires in-person, by phone, and email.
  • Data enter and update information in the database; record and track documents and information.
  • Review financial reports, manage collections, oversee purchasing, and maintain AP.
  • Submit RFPs, manage the bidding and vendor selection process, develop vendor relationships, and mange capital projects.
  • Prioritize maintenance requests and work orders; schedule and coordinate maintenance vendors and contractors for work to be done onsite.
  • Prepare board packages. Coordinate and schedule monthly and annual board meetings.
  • Create and send out weekly mass communications by mail and email to homeowners notifying them of maintenance onsite, HOA guidelines, and community events.
  • Assist homeowners in completing architectural review forms and follow-up with homeowners on the Board’s decision.
  • Recruit, train, and supervise employees, to include organizing, prioritizing, and scheduling work and assigning ad hoc tasks.
  • Other projects as requested.

Requirements

  • 5+ years of community association experience.
  • 3+ years of experience managing 10+ direct reports.
  • CMCA required; AMS preferred.
  • Service driven, customer focused, and team oriented.
  • Excellent communication skills (written and oral), conflict resolution techniques, follow-up and follow-through skills.
  • Proficient in MS Suite (Word, Excel, Outlook).
  • Excellent judgment, problem-solving, multi-tasking, and decision-making skills.
  • Ability to promote and maintain positive community relations and communicate effectively with residents.
  • Excellent analytical skills and an ability to develop project plans and work schedules.
  • Fosters a cooperative work environment with effective decision making and problem solving abilities.
