Job summary

Katmai is seeking an Administrative Specialist to support Warriors in the Recruit Sustainment Program (RSP). You will handle RMS Vulcan data entry, shipper quality control, and reporting while interviewing Warriors on admin, medical, and education topics.

You will coordinate with IADT, MEPS counselers, and ARNG liaisons to resolve issues, maintain training documents, and ensure eligibility and compliance across training schedules.

Qualifications

• High school diploma or equivalent is required.
• Must have a current NACI investigation and security access.
• 1–2 years of related admin experience or education-based equivalent.
• Knowledge of Microsoft 365 products is required.

Responsibilities

• RMS Vulcan data entry and quality control, reporting shipper issues.
• Interview Warriors on admin, medical, and education topics as needed.
• Monitor retention issues and support processing for separation.
• Manage IET ship dates within prescribed timeframes to maximize seats.

Job description

SUMMARY

Responsible for administrative functions in support of Warriors in the Recruit Sustainment Program (RSP). Plan and execute administrative and personnel functions in support of preparing Warriors for Initial Entry Training (IET). The National Guard Bureau, through the national contract Program Manager, will provide general and technical guidance.

ESSENTIAL DUTIES & RESPONSIBILITIES

• RMS Vulcan data entry, shipper quality control, along with reporting and communicating shipper issues.
• Interview Warriors on administrative, medical, educational, and other topics as needed.
• Monitor Warriors for potential retention issues and make every effort to assist in mitigating those issues or process them for separation.
• Assist in the management of IET ship dates within prescribed timeframes to ensure maximum training seat utilization.
• Provide qualitative screening to ensure Warrior’s are administratively correct.
• Communicate with the Initial Active-Duty Training (IADT) Manager, MEPS Guidance Counselors, and T2COM ARNG Liaisons regarding IADT Warriors issues. Respond to RMS Vulcan LNO tickets ASAP.
• Maintain the RMS Vulcan Application and perform daily input/reporting to actions relating to Warriors’ training.
• Provide quality control for all documentation in the Warrior’s shipper packet.
• Maintain employment eligibility training/certification requirements.
• Upload shipper documents into RMS Vulcan.
• Monitor Warriors at training using the Army Training Requirements & Resources System (ATRRS) tab in RMS Vulcan for “Pending Actions” and report issues.
• Provide RMS Vulcan and Director’s Personnel Readiness Overview (DPRO) reports as needed/requested.
• Maintain regular and punctual attendance.

SUPERVISORY RESPONSIBILITIES

None.

MINIMUM QUALIFICATIONS

• A High School Diploma or equivalent is required.
• Possess a current National Agency Check with Inquires (NACI) Investigation.
• Must maintain any necessary security access and/or background checks.
• One (1) to two (2) years of related experience OR a combination of education to successfully perform the duties of the position.
• Must have knowledge of the Microsoft 365 Product Family.

• Recruiting and Retention or Military Unit Administration is preferred.
• Knowledge of ARNG IET Shipper Quality Control, RMS Vulcan Input, and the administrative processes of Army National Guard is preferred.

Work is primarily performed in a professional office setting, including the normal office equipment (e.g., computer, fax machines, copier) and with a wide variety of people in differing functions, personalities, and abilities.

PHYSICAL DEMANDS

Frequent sitting, using hands/fingers, handling, reaching with hands and arms, talking, hearing, occasional walking or standing, occasional lifting of up to 20 lbs.
