  • Organize closets, storage areas, pantry, and systems; ensure supplies are stocked.
  • Provide occasional childcare and assist with school runs when needed.
  • Coordinate daily care of pets and farm animals; arrange vet visits and grooming.
  • Run errands, meal planning, grocery ordering, and light meal prep.
  • Coordinate travel logistics, gifts, returns and shopping as needed.
  • Prepare home for gatherings, holidays and guests; assist with decorating.

Position Summary

We are seeking a highly organized, proactive, and trustworthy House Assistant to support the day-to-day operations of a busy family home. This individual will serve as the primary point of coordination for household management, vendors, pets, errands, and occasional childcare. The ideal candidate is detail-oriented, resourceful, takes initiative without being asked, and enjoys creating order and efficiency.

Key Responsibilities
Household Operations
  • Coordinate and manage all household vendors, including:
    • Lawn and landscaping
    • Pool maintenance
    • House cleaning services
    • Gate and security maintenance
    • Utilities and other home service providers
    • General contractors and repair professionals
  • Schedule appointments and oversee vendor work to ensure quality and timely completion.
  • Maintain a household maintenance calendar and proactively identify home maintenance needs.
  • Keep household manuals, warranties, and service records organized.
Household Organization
  • Maintain a clean, organized, and well-functioning home.
  • Organize closets, storage areas, pantry, and household systems.
  • Ensure household supplies are fully stocked and reorder items as needed.
  • Receive deliveries and coordinate returns or exchanges.
  • Open, sort, and organize household mail and packages.
Family Support
  • Provide occasional childcare assistance as needed.
  • Assist with school pickups/drop-offs or transportation when requested.
  • Help prepare the home and family for daily activities, guests, and special occasions.
Animal Care
  • Assist with the daily care of household pets and farm animals.
  • Coordinate veterinary appointments, grooming, medications, and supplies.
  • Ensure animals are properly cared for during family travel.
Errands & Personal Assistance
  • Run household errands include grocery shopping, dry-cleaning, post-office visits, pharmacy pickups, and other personal errands.
  • Assist with meal planning, grocery ordering, and light meal preparation when needed.
  • Coordinate travel logistics, reservations, and appointments.
  • Help with gift purchasing, returns, and seasonal shopping.
Event & Guest Support
  • Prepare the home for family gatherings, holidays, and special events.
  • Assist with decorating for holidays and seasonal occasions.
  • Coordinate guest arrivals and ensure the home is guest ready.
Administrative Duties
  • Track household expenses and organize receipts.
  • Maintain household calendars and appointment schedules.
  • Communicate regularly with management regarding household priorities, maintenance issues, and recommendations.
  • Assist with special projects as assigned.
  • Manage household shipments and deliveries, including preparing outgoing packages, coordinating couriers and freight services, tracking shipments, confirming receipts, processing returns, resolving delivery issues, and maintaining organized shipping records. Ensure that valuable, confidential, or time-sensitive items are handled securely and delivered promptly.
  • Maintain an active Notary Public commission in good standing, including completing all required renewals, training, insurance, recordkeeping, and compliance obligations. Provide notarial services for authorized household, personal, and business documents, as permitted by applicable state law, while maintaining accuracy, confidentiality, and proper documentation.

Preferred Qualifications
  • Previous experience as a House Manager, Estate Assistant, Executive Assistant, Personal Assistant, or Household Manager.
  • Experience coordinating vendors and managing residential properties.
  • CPR/First Aid certification is a plus.
