Job summary

Vintners Distributors, Inc in Union City, CA is seeking a Fuel Coordinator to join our wholesale team. This full-time, exempt role supports fuel operations, manages client accounts, ensures billing accuracy, and drives process improvements.

You will collaborate with logistics, finance, and operations, analyze transactions in Excel, produce regular reports, and help onboarding of new clients while maintaining strong service for internal and external customers.

Qualifications

• 3-5+ years in a professional environment (fuel, logistics, energy or transportation preferred).
• Proficiency in Microsoft Excel and ability to learn internal systems quickly.
• Excellent written and verbal communication with internal stakeholders and external clients.
• Strong attention to detail with ability to spot trends and troubleshoot issues proactively.
• Ability to manage multiple tasks, prioritize effectively, and meet deadlines.

Responsibilities

• Serve as a primary liaison for fleet and dealer fuel accounts, addressing inquiries promptly.
• Onboard new clients, ensuring seamless account setup and documentation.
• Monitor invoicing, payments, AR/AP aging, and support billing accuracy.
• Produce weekly/monthly reports and track key performance metrics.
• Collaborate with logistics, compliance, and finance to streamline processes.
