Job summary

Responsibilities

  • Support daily operations of Union Station guest services, The Corner, and other public-facing Cultural Services operations.

FLSA Status: Non-Exempt, Merit, Full-Time, Eligible for Benefits

GENERAL PURPOSE

The Visitor Services Coordinator is responsible for creating exceptional guest experiences by supporting the daily operations of Union Station guest services and operations support, The Corner retail store, and ensuring exceptional customer service for all Cultural Services operations. This position manages retail and guest service operations, coordinates facility bookings for the Union Station and customer support, oversees part-time staff, develops community partnerships, and provides administrative and operational support for the Cultural Services/Union Station Division.

The Visitor Services Coordinator ensures guests, residents, community partners, and event organizers receive professional, knowledgeable, and welcoming service. This position plays a vital role in supporting all Cultural Services venues, programs, and special events while ensuring exceptional customer service, financial accountability, and efficient operations, including oversight of The Corner.

Essential Job Functions
Guest Experience & Operations
  • Supports the daily operations of Union Station guest services, The Corner, and other assigned public-facing Cultural Services operations.
  • Provide exceptional customer service to guests, tenants, community partners, and event organizers through in-person, telephone, and electronic communications.
  • Coordinate facility reservations, event bookings, rental agreements, customer inquiries, and payment processing.
  • Maintain welcoming, organized, safe, and professional public spaces while ensuring facilities are clean, functional, and guest-ready.
  • Coordinate guest information, community resources, promotional materials, and tourism information to enhance the visitor experience.
Retail & Business Operations
  • Manage retail operations including merchandise, ticket sales, concessions, inventory control, purchasing, receiving, merchandising, and vendor relationships.
  • Maintain point-of-sale systems, cash handling procedures, daily deposits, inventory records, and financial reporting.
  • Monitor sales performance, inventory levels, and operational trends while recommending improvements that enhance guest service and operational efficiency.
  • Ensure compliance with City policies related to cash handling, purchasing, retail operations, and customer service standards.
  • Manage food service operations such as inventory, ordering, receiving, vendor relations, food safety operations, equipment maintenance, and seasonal menu development.
Staff Leadership & Training
  • Assist with training, hiring, scheduling, coaching, mentoring, part-time staff, seasonal employees, and volunteers.
  • Coordinate employee onboarding, required certifications, and ongoing staff oversight
  • Establish work schedules with the Division Director to ensure consistent staffing levels to meet operational needs.
  • Foster a collaborative, service-oriented culture that reflects Ogden City's mission and values.
Community Partnerships
  • Develop and maintain strong relationships with community organizations, tourism partners, museums, arts organizations, hotels, local businesses, and educational institutions.
  • Coordinate the collection, distribution, and display of promotional materials and community resources.
  • Represent Cultural Services at community meetings and partner events while promoting Ogden City programs, venues, and initiatives.
  • Collect and maintain community partner marketing materials such as posters and flyers displaying literature for The Corner guests to obtain current information on local events and happenings.
  • Collect and distribute resource materials about history, public art, trails, downtown maps, bike routes, etc.
Administrative & Operational Support
  • Maintain records, calendars, training documentation, inventories, and departmental files.
  • Assist with operational planning, policy implementation, process improvements, and departmental projects.
  • Prepare reports, correspondence, and other documentation as needed.
Event & Program Support
  • Provide operational support for Cultural Services programs, Union Station activities, festivals, and city-sponsored events.
  • Assist with event setup, logistics, staffing coordination, guest services, and event operations.
  • Work evenings, weekends, and holidays as necessary to support departmental programs and community events.
  • Perform other related duties as assigned in support of Cultural Services operations.
  • Coordinate with the Cultural Services Division Director and Assistant Cultural Services Director to develop a yearly plan with goals and objectives for The Ogden Arts Culture and Events Division.
  • Coordinate with the Marketing & Communications team to use the community calendar as a tool to announce local happenings to the public through public-facing screens and other public announcements and social media.
  • Manage the "local made" retail/gifts shop at The Corner, such as inventory, ordering, receiving, vendor relations, design, display rotation, and sales reports.
  • Help guests at the window with food, beverage, ticket sales, or community information.
  • Coordinate facility management such as interior organization, cleanliness, and minor maintenance.
  • Maintain the point-of-sale system, inventory management, daily deposits, and weekly reporting for retail sales, ticket sales, and food sales.
  • Update and facilitate training for all full and part-time employees of the ACE Team. Making and keeping a training file, binder, and tracking system for all current and new hire employees, including FEMA, food handlers, sips & tips, etc., and all required training per job description.
  • Attending weekly Cultural Service meetings, scheduling follow-up meetings concerning progress on Cultural Service goals.
  • Provide events and program support for all Cultural Service programs and events.
  • Perform other related duties as required/assigned.
Education And Experience Requirements

  • Possession of, or ability to obtain, an appropriate, valid Utah driver's license.
  • Possession of a valid Food Handler Manager Certificate, WMHD Food Handlers Permit, and SIPS and TIPS Certificate
  • Employees will be required to complete NIMS IS100 and IS700 within three months of hiring.

Failure to obtain/maintain license and certificate as outlined above may result in termination from the position.
