The Hospital of the University of Pennsylvania (HUP) is hiring a full-time Unit Secretary for the Intensive Care Nursery (ICN).
Summary
- The Unit Secretary plays a vital role in the healthcare team, ensuring quality care through effective communication and collaboration. They operate under the supervision of the nurse manager and registered nurses, supporting clerical and secretarial functions on the unit. Responsibilities include managing information systems, receptionist duties, patient data collection and reporting, and supporting HUP’s Standards of Excellence. The role requires a high school diploma or equivalent; post-secondary education in computer skills and medical terminology is preferred, along with familiarity with typing/computer keyboard.
Responsibilities
- Answer telephones, relay messages, and handle inquiries promptly.
- Greet patients and visitors, provide directions, and answer questions.
- Communicate with nursing and hospital staff regarding patient needs and whereabouts.
- Ensure patient consent and Advance Directive paperwork are complete.
- Support Medication Reconciliation through appropriate forms and electronic audits.
- Respond to patient call systems and communicate needs to healthcare team.
- Manage security access, respond to intercom requests, and report issues.
- Assist in emergency situations by coordinating studies and emergency communication.
- Arrange patient transport and deliver mail, flowers, and packages.
- Coordinate equipment and supply requests, and document minor issues.
- Notify Nurse Manager of serious problems and complete necessary documentation.
- Update patient admission, transfer, and discharge information in the electronic system.
- Maintain patient charts, including filing, assembling, and preparing discharge documentation.
- Ensure patient identification accuracy and maintain supplies and forms.
- Assist in data collection for departmental projects and research.
- Participate in staff meetings and contribute suggestions for improved patient service.
- Reassignments to other units may occur as directed.
- Provide courteous and respectful service to patients, families, visitors, and staff, supporting patient satisfaction goals.
- Communicate pertinent observations to healthcare team members promptly.
- Support the completion of electronic death and fetal death certificates and notify Gift of Life as needed.
Credentials
Education or Equivalent Experience:
- High School Diploma/GED (Required)
- Additional education in medical terminology or computer skills preferred.
