Job description

POSITION SUMMARY:

The Front Office Supervisor work with and reports directly to the Director of Nursing. The Front-Office Supervisor will be responsible for the delivery and management of the daily front desk activities at each of the Saint James Health locations, specifically including all aspects of the responsibilities of the Medical Receptionists, while maintaining a professional work environment.

REQUIRED SKILLS AND QUALIFICATIONS

  • Commitment to working in a community health center with the challenges of high risk and often uninsured diverse patient population.
  • Computer literacy: Microsoft Word and Excel and Outlook email) required.
  • Demonstrated ability to deliver and execute decisions.
  • Demonstrated problem solving ability including planning, organizing, and prioritizing.
  • Ability to motivate individuals and develop group cohesiveness.
  • Ability to work collaboratively and productively with all members of Senior Leadership, medical providers, and clinical staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for scheduling Medical Receptionists to ensure adequate coverage in all Front Ends.
  • Responsible for staff coverage and adjusts staff work schedules as needed to cover PTO, Sick, and Emergency calls. Maximizes the use of available staff resources.
  • Supervises Medical Receptionists, and any other front ancillary staff regarding discipline and grievance resolution, and performance evaluations.
  • Coordinates staff training and retraining to further the professional development of the staff and improvement of patient care delivery.
  • Audit front desk intakes for; demographics, insurance, scanned and faxed documentation
  • Ensure all appointment confirmation are completed
  • Works with Nurse Manager to implement any new or revised processes
  • Works with Nurse Manager to design and maintain an inventory process for Front End supplies.
  • Oversees the Medical Receptionists to ensure the daily AM and PM checklists are completed.
  • Ensures clinic compliance with HRSA and DOH regulatory standards
  • Train staff on scheduling optimization
  • Conducts staff meetings.

HUMAN RESOURCES

  • Interviews candidates and recommends candidates for Medical Receptionists
  • Coordinates staff training and re-training and orientation of new staff.
  • Completes yearly competency reviews as well as on going reviews and evaluation.
  • Ensures that all staff trainings including HIPPA are up to date
  • Assist and support all human resources functions for receipt of hiring documentation and performance evaluations for the Medical Receptionists.

RISK MANAGEMENT

  • Collaborates with the Nurse Manager and schedule training of the staff regarding risk management training to mitigate risk within the organization.
  • Conducts monthly audits to ensure proper documentation regarding front desk intakes and insurance.

CLINICAL OPERATIONS

  • Oversees clinical operations with respect to appointment scheduling and intake workflow
  • Meet clinical intake goals
  • Strengthens the intake process for all medical appointments by identifying needs for staff training.
  • Works closely with the Nurse Manager to analyze the delivery of patient care services and to identify strategies to fill identified gaps

EDUCATION and /or EXPERIENCE

High school diploma, BSN preferred. Four years of supervisory experience within the organization overseeing minimum of 35 employees.
