Job Summary

The Front Office Specialist (FOS) is responsible for providing exceptional customer service to WellStar's patients and customers. This includes greeting patients, registering at check-in and check-out, answering phones, scheduling appointments, managing cash, and supporting administrative functions essential to the practice's operations. The FOS plays a key role in achieving patient experience, employee engagement, and financial goals. The position requires multitasking and effective communication with various customers.

Facility: Cherokee Health Park

Core Responsibilities and Essential Functions:

  1. Customer Service:
    • Greet patients and guests warmly, following AIDET principles, in person or on the phone.
    • Answer calls, direct to appropriate personnel, take messages, handle non-clinical processes, and schedule appointments.
    • Communicate delays or waits to patients promptly.
    • Collaborate with clinical staff and providers.
    • Manage patient call wait times and respond to voicemails timely, offering callbacks when needed.
  2. Operations/Revenue Cycle:
    • Register and schedule patients, verify insurance eligibility, scan insurance cards and IDs, and complete necessary paperwork.
    • Collect co-pays and outstanding balances, adhering to cash management policies.
    • Manage cash drawer, verify balances, and balance reports daily.
    • Check patients out, collect balances, set up payment plans, and schedule follow-up appointments.
    • Send appointment reminders to patients.
  3. Administrative:
    • Coordinate with the clinic for representatives, visitors, sample pickups, and other requests.
    • Perform other duties as assigned by management.

Ensure compliance with all WellStar policies, standards, and conduct.

Minimum Education: High School Diploma or equivalent

Minimum Experience: 1-2 years in a healthcare front office or similar setting; customer service experience required

Skills: Proficient in computer use, knowledge of medical terminology (preferred), insurance filing, strong communication skills, positive attitude, team-oriented.
