Role Purpose
Oversee the daily operations of the Front Desk Department and Guest Service areas, ensuring front desk operations meet hotel standards for maximum guest satisfaction. Serve as the main contact for guests and other hotel departments in all day‑to‑day aspects of hotel operation.
Responsibilities
- Ensure efficient guest registration, check‑out and telephone service. Observe front desk agents to ensure procedures are followed, public relations techniques are used, guests are handled courteously, identification and credit are established and all cash and posting transactions are accurate.
- Observe Front Office Associates to confirm duties are completed per policy, including courteous call handling, timely greetings, message management, and complaint resolution.
- Direct, train and supervise Front Office Associates. Assist with new‑hire and ongoing training, schedule breaks, and ensure work is completed efficiently.
- Arrive on time in professional attire with required tools, review daily arrivals, pre‑register VIP and special request reservations, manage room availability, and relay pertinent information to staff.
- Create departmental schedules in line with budget and productivity standards, and communicate schedules to staff promptly.
- Order supplies while adhering to budget and ensuring staff receive necessary tools and supplies.
Additional Functions
- Assist with accounting tasks (Accounts Receivable, Accounts Payable, Cash Handling/Bank Management).
- Support the Housekeeping Department with supply orders, scheduling, and room assignment board setup.
- Assistance to the Food & Beverage team as needed (food running, guest relations).
- Perform other tasks assigned by the Operations Manager or General Manager.
Knowledge, Skills, and Abilities
- Fluent in reading, writing, and speaking the primary language(s) used in the workplace.
- Excellent verbal and written communication skills.
- Extensive knowledge of hotel services and facilities.
- Strong customer relations and leadership capability.
- Detail oriented with outstanding organizational skills.
- Basic computational and computer skills, including proficiency in Microsoft Word and Excel.
- Knowledge of federal, state, and local laws governing equal employment opportunity and civil rights, including TitleVII, ADEA, Equal Pay Act, FMLA, OSHA, and NLRA.
Physical Demands
- Work indoors with controlled temperature.
- Sit at a desk up to 4 hours per day; walk and stand for the remainder of the day.
- Reach other departments in a timely manner.
- Lift up to 15lbs. occasionally.
- Require visual acuity, manual dexterity, and ability to use office equipment.
Qualifications
- High School Diploma required.
- One to three years of management experience preferred.
- No specific licenses or certificates required.
Grooming and Attendance
All employees must maintain a neat, clean, and well‑groomed appearance in accordance with hotel standards. Regular attendance is essential; irregular attendance or tardiness may lead to disciplinary action, up to and including termination.
