Position / Title: Front Office Coordinator

Reports To: Practice Manager

Work Location: Auburn Memorial Medical Services P.C.

Position Summary:

The Front Office Coordinator is responsible for managing the day-to-day operations of the front office, ensuring smooth patient interactions, efficient appointment scheduling, and effective communication between patients and medical staff. This role plays a critical part in the smooth functioning of the practice, offering direct support to both patients and staff while maintaining a high standard of professionalism and organization.

Responsibilities and Duties:

  • Greet and welcome patients in a professional and friendly manner.
  • Answer and direct calls on a multi-line phone system, providing excellent customer service.
  • Verify patient information (e.g., insurance, demographics) and ensure system updates.
  • Provide patients with necessary forms, consents, and instructions.
  • Manage appointment scheduling and maintain an organized calendar to ensure optimal physician and patient flow.
  • Accurately perform data entry and manage patient information in the EMR system.
  • Assist with clerical duties, including filing, scanning, and maintaining office supplies, ensuring smooth office operations.
  • Provide support to medical staff as needed, including front desk and receptionist duties.
  • Ensure patient confidentiality and comply with privacy regulations when handling sensitive information.
  • Uphold strict confidentiality of patient information and adhere to HIPAA and other privacy regulations.
  • Collaborate with the Practice Manager to improve front office operations and staff efficiency.
  • Maintain a tidy and organized front office environment, including the waiting area and workstations.
  • Assist with the preparation of medical records, insurance verifications, and patient referrals.
  • Assist in the training and orientation of new front office staff, ensuring they are familiar with office procedures and protocols.
  • Provide ongoing training and support to existing staff, focusing on best practices for patient interaction, appointment scheduling, and EMR usage.
  • Monitor front office performance and offer feedback, coaching, and mentorship to staff members to improve efficiency and customer service.
  • Other duties as assigned.

Qualifications, Education and Experience Requirements:

  • Experience in a hospital or clinical setting preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to work in fast paced environment and to work on multiple projects at the same time.
  • Proficiency in medical software and computer systems.
