Brief Description

As a Front Office Associate, you will be the first point of contact while answering phones, cheerfully greeting clients, registering and scheduling clients, collecting co-pays, and acting as a liaison between our mental health professionals and our patients. We are committed to helping patients in our community who are experiencing personal, emotional, marriage, family or psychological problems. You will play an important part in that process by actively listening to patients' needs and showing empathy to every patient you speak with.

About Nystrom & Associates

Nystrom & Associates is a team of mental health professionals specializing in psychiatric evaluations, clinical social work, and family therapy. Founded in 1991, we offer outpatient substance use disorder programs, psychological testing, and behavioral health and medication management services.

Hours: (Must be able to work one of the following shifts)

  • Monday - Wednesday 9:45AM - 6:45PM, Thursdays 9:45AM - 6:15PM, Fridays 9:45AM - 4:15PM

Job Duties

  • Interact with patients and visitors professionally and warmly
  • Answer inbound and make outbound calls, respond to inquiries, provide accurate information, or triage as needed
  • Check-in patients, verify demographic info, provide paperwork, and collect payments
  • Coordinate care by scheduling appointments and collaborating with providers using multiple systems
  • Maintain a clean and organized front desk and waiting area
  • Handle patient concerns with empathy and collaborate with leadership to resolve issues
  • Perform administrative tasks like filing, scanning, faxing, mailing
  • Attend meetings and trainings
  • Other duties as assigned
  • Strong communication and interpersonal skills
  • Ability to manage stress and handle escalated situations
  • Work with confidential information
