Job summary

Bayhealth is seeking a Front Office Assistant to greet patients, activate files, and guide them through a physician's schedule. The role supports daily operations, maintains records, and ensures accurate scheduling and billing processes in a busy medical office.

Qualifications include a high school diploma or GED, and 1 year of healthcare clerical experience; an Associate Degree is preferred. The position offers full-time hours with day/evening shifts and a competitive benefits package.

Qualifications

  • Education: High School Diploma or GED.
  • Experience: 1 year clerical, office, and/or customer service in a healthcare environment.
  • Preferred: 2 years clerical/office/customer service in a healthcare environment.

Responsibilities

  • Front desk, receptionist and registration duties to maintain efficient patient flow.
  • Assist in daily office operations and mentor Front Office Assistant I as needed.
  • Ensure timely scheduling of surgery patients; prepare patient for visit and provide pre-surgery instructions.
  • Obtain insurance authorizations/referrals; collect payments for visits.
  • Register patients in the system and maintain accurate medical records.
  • Inform patients about billing, insurance, workers’ compensation and charges.
  • Schedule new and established patient follow-ups; coordinate with other departments.
  • Manage clinic schedules and Real Time Eligibility (RTE).
  • Maintain filing and licensing/registrations; comply with HIPAA requirements.
  • Perform general clerical duties and end-of-day reconciliation.
  • Stay updated on insurance authorization/referral procedures.
  • Cross-train to medical assistant functions if needed.
  • Carry out other duties within scope as assigned.

SALARY RANGE: 16.98 - 25.48 HOURLY
General Summary:

Front Office Assistants greet patients, activate patient files, and move patients through a pre-determined schedule of appointments at a physician's office. They are the first line of communication between a patient and a doctor, whether it's on the phone or in person. They answer questions and provide general information or may direct a patient to a person who can provide the information. Responsible for keeping, updating and maintaining records by getting the appropriate information from both patients and doctors.

Responsibilities:
  • 1. Performs front desk, receptionist and registration duties, while demonstrating the ability to maintain efficient patient flow.
  • 2. Assist the office in all aspects of the daily operation as needed including, but not limited to mentoring for Front Office Assistant I. Prepares the patient to the visit.
  • 3. Ensure timely, efficient, and accurate scheduling of surgery patients by completing patient registration process for surgical patients. Facilitate instructions for pre-surgery and day-of surgery to patients.
  • 4. Obtain insurance authorizations/referrals. Upon patient arrival, initiate proper forms for the medical and financial record. Obtain the patient and/or responsible parties’ signature where necessary. Collects payment for office visit.
  • 5. Registers patient in system. Demonstrates the ability to maintain proper medical records.
  • 6. Informs patients of practice policies regarding billing, insurance, workers compensation and charges.
  • 7. Schedules new patient and established patient follow-up appointments. Coordinates patient appointments with other specialists or departments as directed.
  • 8. Manages clinic schedules.
  • 9. Completes Real Time Eligibility (RTE).
  • 10. Maintains efficient filing and record maintenance system for required business, medical, and The Joint Commission (TJC) licenses/registrations. Follows all HIPAA requirements.
  • 11. Perform general clerical duties as required.
  • 12. Performs check out and end of day reconciliation functions.
  • 13. Keep informed of current insurance authorization/referral procedures.
  • 14. May be cross-trained to medical assistant functions.
  • 15. All other duties as assigned within the scope and range of job responsibilities

  • Education: High School Diploma or GED

  • Experience:

    Required: One-year clerical, office, and/or customer service experience in a healthcare environment.

    Preferred: Two (2) years clerical, office, and/or customer service experience in a healthcare environment
