Front Office Assistant - Downtown Phoenix

Job Summary

The CEI Labforce Office Assistant at Connect Labs is responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided to clients and guests in an effective and efficient manner.

Scope

This position works at the Connect Labs location, located at 850 PBC in Downtown Phoenix. Work contacts regularly include tenants, the CEI Lab Technician, Building Owner Employees, and Property Management Employees. Contacts also may include CEI Executive Director, CEI Assistant Executive Director, Marketing Assistant, mentors, CEI Selection Committee, guests, clients, city officials, various business and industry stakeholders, Small Business Development Center and other community agencies serving small business development, professional specialized service providers, and the general community attending weekly events and workshops.

Supervision Received

This position reports to the Director of Community & Industry Relations and the Labforce Laboratory Technician of CEI.

Duties

  • Performs receptionist-type functions such as:
  • Answer all incoming calls/emails and handle the inquiries whenever possible.
  • Re-direct calls/emails as appropriate and take adequate messages when required.
  • Greet, assist and/or direct visitors and the general public.
  • Direct visitors by maintaining the community directories.
  • Lead guests on informal tours of CEI/Connect Labs as needed.
  • Maintain a safe and clean reception area and meeting spaces.
  • Receive and process all meeting space requests from tenants.
  • Receive and sort mail to appropriate tenants.
  • Assist in the planning and preparation of meetings and events, including:
  • Set up tables and chairs according to meeting type and/or request.
  • Maintain amenities in meeting spaces and common areas.
  • Oversee minor to moderate IT needs for meeting setup.
  • Plan community events for tenants.
  • Maintain an adequate inventory of office supplies and collateral materials.
  • Provide word-processing and secretarial support.
  • Support the CEI staff and Connect Labs Community Members.
  • Contribute to team effort by accomplishing related results as needed.

Training & Experience

Experience in a professional environment is preferred but not required.

Special Conditions of Employment

Must be available to work Wednesday - Friday during regular business hours.

Working Conditions

The Office Assistant will spend long hours sitting and using office equipment and computers, which can cause muscle strain. The Office Assistant may also have to do some light lifting (up to approximately 25 pounds) of supplies and materials from time to time.
