Job Title: Front Office Assistant
Department: Operations
Reports to: Practice Manager/Regional Manager
Status: Non-Exempt
Major Responsibilities/Activities:
- Welcome patients and visitors to the office by greeting them in person and on the telephone, answering inquiries, or referring questions to other staff members.
- Schedule/confirm appointments ensuring patient satisfaction, provider time, and the most effective use of rooms.
- Verify insurance coverage.
- Keep patients on schedule by reminding providers of service delays.
- Maintain a neat and orderly front office area.
- Assist patients with insurance and billing questions.
- Prepare financial treatment plans and present them to patients.
- Complete daily checklist on time and accurately.
- Check out patients upon appointment completion, schedule future appointments, and inquire about any overdue charges. Answer any questions patients have.
- Perform general office duties, such as document preparation, scanning, faxing, mailing, and filing.
- Prepare daily check deposit (if applicable).
- Assist with protocol documentation as needed.
- Help maintain inventory supplies and notify Practice Manager when running low.
- Participate in the medical office emergency routine when required. Summon ambulance or EMS or assist other staff members as needed.
- Navigate software without assistance.
- Represent the practice in a professional, pleasant, and cooperative manner.
- Maintain regular attendance and adhere to assigned work schedules and office policies.
- Be flexible and excel in forward thinking to anticipate the needs of patients and the dental team.
- Perform other related duties as necessary or assigned by management.
Minimum Requirements:
- Working knowledge of dental terminology and practices.
- Comfortable in a fast-paced, quickly changing environment.
- Strong organization, interpersonal, and communication skills are essential.
- Comfortable interacting with the general public.
- As a condition of employment, qualified applicants will be subject to a background check, including criminal history, driving history, and character references.
Requirements:
- High School Diploma or equivalent.
- Minimum one to three (1-3) years of relevant experience, preferably in a dental office.
- Full-time 36-40 hours per week, flexibility needed for alternating schedule.
Physical Requirements:
- Ability to sit, stand, and walk for extended periods of time.
- Excellent speaking and listening skills, requiring the perception of speech.
