Description

Job Title: Front Office Assistant

Department: Operations

Reports to: Practice Manager/Regional Manager

Status: Non-Exempt

Major Responsibilities/Activities:

  1. Welcome patients and visitors to the office by greeting them in person and on the telephone, answering inquiries, or referring questions to other staff members.
  2. Schedule/confirm appointments ensuring patient satisfaction, provider time, and the most effective use of rooms.
  3. Verify insurance coverage.
  4. Keep patients on schedule by reminding providers of service delays.
  5. Maintain a neat and orderly front office area.
  6. Assist patients with insurance and billing questions.
  7. Prepare financial treatment plans and present them to patients.
  8. Complete daily checklist on time and accurately.
  9. Check out patients upon appointment completion, schedule future appointments, and inquire about any overdue charges. Answer any questions patients have.
  10. Perform general office duties, such as document preparation, scanning, faxing, mailing, and filing.
  11. Prepare daily check deposit (if applicable).
  12. Assist with protocol documentation as needed.
  13. Help maintain inventory supplies and notify Practice Manager when running low.
  14. Participate in the medical office emergency routine when required. Summon ambulance or EMS or assist other staff members as needed.
  15. Navigate software without assistance.
  16. Represent the practice in a professional, pleasant, and cooperative manner.
  17. Maintain regular attendance and adhere to assigned work schedules and office policies.
  18. Be flexible and excel in forward thinking to anticipate the needs of patients and the dental team.
  19. Perform other related duties as necessary or assigned by management.

Minimum Requirements:

  1. Working knowledge of dental terminology and practices.
  2. Comfortable in a fast-paced, quickly changing environment.
  3. Strong organization, interpersonal, and communication skills are essential.
  4. Comfortable interacting with the general public.
  5. As a condition of employment, qualified applicants will be subject to a background check, including criminal history, driving history, and character references.

Requirements:

  1. High School Diploma or equivalent.
  2. Minimum one to three (1-3) years of relevant experience, preferably in a dental office.
  3. Full-time 36-40 hours per week, flexibility needed for alternating schedule.

Physical Requirements:

  1. Ability to sit, stand, and walk for extended periods of time.
  2. Excellent speaking and listening skills, requiring the perception of speech.
