Position Summary:
This is an in-person administrative position that requires efficient time management skills, the ability to multitask, and the ability to prioritize workload effectively. Fluency in both English and Spanish is required. The Receptionist serves as the first point of contact for clients, visitors, and partners, ensuring a welcoming and professional environment. This role involves managing front desk operations, handling inquiries, and providing administrative support to various departments within HealthyMe.

Major Duties and Responsibilities:

  • Front Desk Management: Greet and direct visitors, clients, and volunteers, ensuring a positive and efficient experience.
  • Telephone Operations: Answer, screen, and route incoming calls; keep a log of all calls received.
  • Appointment Scheduling & Record Keeping: Organize and schedule appointments, scan documents into the Electronic Records Management System, and perform data entry with attention to detail while registering clients in online systems.
  • Office Equipment Operation: Utilize office equipment, including printers, copiers, and fax machines.
  • Client & Stakeholder Communication: Provide general information about HealthyMe’s services and programs.
  • Confidentiality & Compliance: Handle sensitive information in a confidential manner, ensuring compliance with HIPAA guidelines and practices.

Minor Duties and Responsibilities:

  • Carry out administrative tasks such as filing, copying, binding, and scanning.
  • Assist with special programs, projects, and various daily operations.
  • Perform other duties as assigned by the supervisor.

Qualifications:

Education:

  • High School Diploma or Equivalent
  • Bi-Lingual (English/Spanish) required

Experience & Skills:

  • Prior experience in an administrative support role preferred
  • Proficiency in Microsoft Office and Electronic Management Systems
  • Ability to type at least 35 words per minute
  • Strong customer service, interpersonal, and problem-solving skills
  • Self-motivated with the ability to work independently and as part of a team

Work Environment:
This position operates in a professional office environment and involves regular interaction with clients, staff, and visitors. The role requires the ability to sit for extended periods and perform tasks that involve computer use.

Compensation:

  • Salary Range: $17.00 - $19.00 per hour, based on experience
