The Work You Will Do:

Front Desk Receptionist - District Five / DeLand Maintenance

This position will serve as receptionist and switchboard operator; respond and direct retrieve and sort incoming and outgoing mail; schedule meetings and reserve conference rooms; organize and maintain administrative records and filing systems along with Adopt-A-Highway, Memorial Markers; assists the Office Manager and senior management personnel within the work unit with special assignments.

Annual Salary Range:

$33,752.56 - $43,679.78

Your Specific Responsibilities:

Serves as receptionist and switchboard operator for the Kepler Complex in DeLand. Answer incoming calls to the main switchboard and transfers calls to appropriate Department personnel in a prompt and professional manner. Provides information of a non-technical and routine nature to the general public, local and state officials, etc. as to services rendered by this or other state agencies. Assists callers with referrals/transfers to other state agencies based upon the subject of the call. Directs all visitors to meeting locations, greets and directs the general public (walk-ins) and issues visitor badges. Maintains and files the daily visitor logs. Maintains accurate desk procedures that cover receptionist and switchboard duties.

Organizes and maintains administrative records and filing systems using Department tracking and data management systems.

Assist the Office Manager and senior management personnel within the work unit with special assignments.

Receives and sorts all incoming mail. Reviews and distributes mail for DeLand Maintenance and DeLand Construction. Prepares and processes outgoing mail.

Assists with scheduling meetings and reserving conference rooms; ensuring room set-up is assigned through FDOTracker system.

Organizes and distributes materials including supplies and other office equipment.

The Successful Candidate will have the following required Knowledge, Skills, and Abilities:

Knowledge of:

  • building security protocol.
  • computer operations systems and procedures.

Skills in:

  • using computers and standard office software.

Ability to:

  • communicate effectively both orally and in writing .

Other Job-Related Requirements:

  • Due to the nature of this position, incumbent must respond to emergencies.

Minimum Qualifications:

  • High School Diploma or Certificate of High School Equivalency; 2 years’ experience in a related field can substitute for the High School Diploma or Certificate of Equivalency.
