We are seeking a professional, organized, and warm Receptionist to be the face and voice of our firm. This role is essential for our day-to-day operations and client experience. You will be responsible for managing the front desk, greeting and seating clients, maintaining logs and schedules, coordinating office needs, and supporting our attorneys, paralegals, and administrative staff. Hours of operation 9am-5:30pm Monday-Friday.
Key Responsibilities
- Warmly greet clients and visitors; escort them to conference rooms and ensure their comfort (offer beverages/snacks).
- Answer and direct high-volume inbound calls with professionalism and composure.
- Maintain the daily schedule for conference and training room reservations.
- Monitor and maintain the appearance and cleanliness of the reception area, conference rooms, and kitchen.
- Coordinate with building management, vendors, and maintenance staff as needed.
- Manage phone logs, seating logs, shipping/receiving logs, and daily office activity records.
- Order and manage office, kitchen, and meeting supplies (Instacart, Amazon, Staples).
- Scan and archive physical files and documents.
- Support attorneys, paralegals, and operational staff across multiple practice areas.
- Provide administrative assistance as requested.
- All other duties as assigned.
Qualifications
- Minimum of 3-5 years of receptionist or front desk experience, preferably in a law firm or professional services environment.
- Exceptional verbal and written communication skills required for interacting with visitors, clients, vendors and colleagues.
- Strong interpersonal skills and a client-focused demeanor.
- Time management skills with a high level of organization, able to prioritize work efficiently and possess a strong attention to detail.
- Comfortable handling multiple priorities and managing interruptions.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel); experience with legal practice management software (CLIO) is a plus.
- Process-oriented and comfortable creating and following procedures.
- Professional, warm and friendly appearance and demeanor at all times, able to handle client inquiries, resolve issues politely and professionally.
- Problem solving ability that identifies and resolves issues that may arise in the course of daily work.
- Able to maintain confidentiality of sensitive information.
- Attention to detail, ensuring accuracy in data entry, recordkeeping, and other tasks.
- Calm under pressure, especially during busy phone and client traffic periods.
- Naturally hospitable and welcoming, with a service-oriented attitude.
- Reliable, punctual, and takes ownership of responsibilities.
- Flexible and able to work collaboratively with staff across all levels.
