PURPOSE AND SCOPE:

As the Patient Services Coordinator, this position coordinates scheduling, pre-procedure communication, medical record documentation, EMR demographic data entry, and requirements for payers and Revenue Cycle. Greets patients and answers multi-line telephone and fax.

Principal Duties And Responsibilities
  1. Schedule and input all appointments in a timely and efficient manner. Manage patient cancellations, center cancellations (e.g., equipment issues), and schedule additions according to center parameters. Print patient schedule and pull patient charts daily.
  2. Facilitate the admission process by greeting patients and visitors professionally, obtaining identification and insurance information to initiate admissions.
  3. Assemble, file, and maintain patient medical and financial records confidentially.
  4. Complete front-end billing procedures, ensuring all information is entered into the registration module.
  5. Perform insurance verification and complete all required processes for prior authorizations or payor actions.
  6. Assist with patient transportation if qualified per company policy.
  7. Ensure signatures are obtained on all necessary documents according to policies.
  8. Ensure accurate scanning and filing of documents within 24 hours of visit, including physician reports to referral sources.
  9. Communicate changes regarding procedures and insurance identified during patient visits to relevant parties and update records immediately.
  10. Perform daily encounter checks for reporting accuracy.
  11. Coordinate collection, processing, maintenance, storage, retrieval, documentation, and distribution of medical records per policy.
  12. Document logs of medical record releases.
  13. Provide information for research or study projects involving patient care, in accordance with policy.
  14. Oversee office materials, including inventory shipments and deliveries.
  15. Other duties as assigned.

EDUCATION:
  • High School Diploma or equivalent; Associate Degree or higher preferred.
Experience and Skills:
  • 1-2 years’ experience in a medical setting, preferably with insurance billing.
  • Proficient in Microsoft Office and related software.
  • Excellent verbal and written communication skills.
  • Ability to multitask and adapt to software applications.
