PURPOSE AND SCOPE:
As the Patient Services Coordinator, this position coordinates scheduling, pre-procedure communication, medical record documentation, EMR demographic data entry, and requirements for payers and Revenue Cycle. Greets patients and answers multi-line telephone and fax.
Principal Duties And Responsibilities
- Schedule and input all appointments in a timely and efficient manner. Manage patient cancellations, center cancellations (e.g., equipment issues), and schedule additions according to center parameters. Print patient schedule and pull patient charts daily.
- Facilitate the admission process by greeting patients and visitors professionally, obtaining identification and insurance information to initiate admissions.
- Assemble, file, and maintain patient medical and financial records confidentially.
- Complete front-end billing procedures, ensuring all information is entered into the registration module.
- Perform insurance verification and complete all required processes for prior authorizations or payor actions.
- Assist with patient transportation if qualified per company policy.
- Ensure signatures are obtained on all necessary documents according to policies.
- Ensure accurate scanning and filing of documents within 24 hours of visit, including physician reports to referral sources.
- Communicate changes regarding procedures and insurance identified during patient visits to relevant parties and update records immediately.
- Perform daily encounter checks for reporting accuracy.
- Coordinate collection, processing, maintenance, storage, retrieval, documentation, and distribution of medical records per policy.
- Document logs of medical record releases.
- Provide information for research or study projects involving patient care, in accordance with policy.
- Oversee office materials, including inventory shipments and deliveries.
- Other duties as assigned.

EDUCATION:
- High School Diploma or equivalent; Associate Degree or higher preferred.
Experience and Skills:
- 1-2 years’ experience in a medical setting, preferably with insurance billing.
- Proficient in Microsoft Office and related software.
- Excellent verbal and written communication skills.
- Ability to multitask and adapt to software applications.
